Operations Associate

Accountabilities:
  • Manage and maintain the end-to-end deal pipeline within HubSpot CRM, ensuring all records, stages, notes, and follow-ups are consistently accurate and up to date.
  • Track inbound interest, ongoing conversations, and long-cycle deal follow-ups, ensuring no opportunity or task is missed across extended timelines.
  • Execute consistent follow-up communications and maintain structured engagement across multiple active deals.
  • Maintain and update operational tracking tools using Microsoft Excel or Google Sheets, ensuring data accuracy and clarity.
  • Transform raw operational data into clear summaries, reports, and basic visual dashboards for leadership visibility.
  • Support preparation of internal and client-facing materials, including pitch documents and deal summaries.
  • Coordinate scheduling, meetings, and administrative logistics related to deal execution and stakeholder communication.
  • Ensure leadership has real-time visibility into pipeline status, priorities, and operational bottlenecks.

  • Requirements:

    • Hands-on experience working with HubSpot CRM, particularly in deal tracking, task management, and follow-up workflows.
    • Strong proficiency in Microsoft Excel or Google Sheets, including formatting, templates, and basic data structuring.
    • Excellent written English communication skills, with the ability to independently manage follow-ups and stakeholder messaging.
    • Exceptional attention to detail and strong organizational skills.
    • Ability to manage structured, repetitive workflows and long deal cycles with consistency and accuracy.
    • Strong sense of ownership, reliability, and proactive problem-solving mindset.
    • Comfortable working fully remotely and aligned with EST working hours.
    • Based in Latin America or South Africa, with availability during required time zones.
    • Bonus: exposure to finance, M&A, investment banking, or executive support environments.
    • Bonus: familiarity with pitch decks, CRM automation, or data visualization tools.
