Publications Coordinator

Responsibilities and key activities include but are not limited to:

Publication Process Support:

  • Support product publication teams with Datavision data entry and record updates
    • Create records based on entries in SharePoint forms
    • Ensure all required fields are entered during the course of the publication development cycle
    • Follow-up for information to be filled in missing fields (more details below under Datavision Support)
  • Proactively manage publication timelines
    • Update dates and steps per the publication plan and keep it updated as the publication progresses in the workflow
    • Follow-up and coordinate to get key and time-limiting steps actioned
  • Apply ICMJE criteria to ensure author eligibility
    • Validate eligibility based on the contribution by them
    • Confirm author eligibility based on their commercial/non-commercial role
  • Ensure publication compliance and adherence to SOP
    • Confirm adherence to compliance requirements at each critical step
      • Availability of active author LOAs for each author
      • Presence of funding/sponsorship statement, writing acknowledgment
      • Availability of author signoff/final approval from each author of a publication as needed for compliance
  • Maintain an up-to-date knowledge of SOP, best practices, product team dynamics, and other outlined processes
    • Keep oneself updated on the process requirements and the rationale for each step, action, or ask in the process
    • Be able to provide process guidance for other stakeholders in the process environment
  • Escalate compliance issues and exceptions as identified
    • Flag to relevant stakeholders/departments instances of non-compliance, process risks, etc, as needed
  • Partner with the in-flight quality control team to remediate any issues identified during the final review phase
  • Assist with manuscript/abstract submission
    • On a need basis, help content teams/authors with package submission 
  • Upload final versions and metadata to publication archive

Datavision Support:

  • Create new publication records in Datavision 
  • Proactively request letters of agreement for new authors
  • Route publications for author review, send reminders as needed, and upload author feedback to Datavision 
  • Coordinate with med writers and subject matter experts to ensure timely circulation and delivery of publication materials
  • Perform compliance checks and submit publications for final publication review
  • Participate in publication strategy and writer meetings to maintain currency of publication records
