Talent & Culture Coordinator (Human Resources)

The Coordinator will be an amazing listener and “people person,” willing to jump in and help, with a real customer service attitude. We’re looking for someone with good attention to detail, and who has a strong regard for privacy safeguards. The position is full time, based in San Francisco.

  • Support ongoing HR processes related to onboarding and offboarding: background checks, staff photos, external staff page, new hire ergonomics, HR email lists, anniversaries, document coordination, etc.
  • Manage employee files to meet document retention policy
  • In collaboration with Learning & Development, coordinate enrollment in legally required trainings, also coordinate the individual training stipend (i.e. tracking and approvals)
  • Support T&C team administrative functions: team calendaring, contracts processing, team credit card reconciliation, offsite logistics, quarterly review reporting, T&C team new hires, etc.
  • The Coordinator also acts as a connector between T&C and departments, being  alert to new opportunities to improve the experience at Wikimedia:
    • Staff events and individual recognition for milestones/ accomplishments
    • Support staff ERGs, cross org lunches, etc.
  • In collaboration with the T&C team, support ongoing staff event logistics for programs like Diversity & Inclusion, Wellbeing, Internships, etc.
  • Cross-train, along with other members in T&C, in multiple T&C functions, to ensure resilience of service to staff & leadership amidst vacations, sick time, and inevitable departures. We will train through supporting and doing:
    • Serve as a secondary support for  T&C related committees, including diversity, career paths, performance, engagement, etc. as needed.
    • Serve as a secondary support Benefits & Wellness projects as needed.
    • Provide back-up support to Recruiting Coordinator as needed.
    • Serve as a secondary support to Learning & Development.

For all the above programs, the T&C Coordinator will update our Office Wiki on a regular basis, with all the latest information. The Coordinator will also maintain excellent vendor relationships. Of course the above list is not exhaustive, and you can help mold how the Coordinator role grows.


  • BA/BS in HR, Psychology, Communications/English or related; or 3-4 years HR work experience
  • Strong track record of solving problems
  • Proficient with programs such as Google Suite, LibreOffice & data tracking systems, with demonstrated ability to learn new software/systems quickly
  • Brilliant verbal and written communication skills
  • Demonstrated ability to work independently and as part of a team, including being adaptable to work with a variety of personalities and nationalities
  • Excellent project and time management skills, prioritize tasks to meet deadlines, and a proven amazing attention to detail
  • Able to adapt to changing requirements in a tech based non-profit organization
  • Proven track record to work in an open and collaborative environment, while respecting confidentiality, handling sensitive information with grace & care
  • Sense of humor is always valued!


  • Passion for Wikipedia and other Wikimedia projects
  • Fluency in languages other than English
  • Understanding of free culture / free software / open source principles
