Administrative Assistant

We are looking for a proactive and energetic Administrative Assistant, who will thrive in our fast-paced dynamic environment. The ideal candidate will have strong executive presence with excellent organizational and interpersonal skills, while remaining flexible and easily adaptable to changing priorities. The ideal candidate will also have demonstrated experience interfacing with all levels of internal and external professionals, managing complex calendars and travel arrangements for senior executives and coordinating large scale meetings and events. A successful candidate must be flexible, a solid multi-tasker, polished and professional.

Responsibilities: 

  • Executive Assistant to the Chief Financial Officer
  • Serve as primary gatekeeper for managing calendar.
  • Manage delegated email, including sorting, prioritizing, corresponding. 
  • Communicate with internal and external client base, including executive staff and employees.
  • Complete timesheets and project billing on a weekly basis.
  • Process all internal and project expenses and credit card statements.
  • Arrange all travel and accommodations.
  • Assist with additional administrative tasks, such as, but not limited to setting agendas and preparing documents for group meetings, carrying out every day errands, ordering supplies, being alert and available during off hours and weekends as needed, providing lunch.
  • Coordinate and plan logistics for special events.
  • Assist managing employees who report to executives including helping with goals, roadmapping, 1:1 check ins, and general communication flow.
  • Provide daily schedule with highlighted priorities and tasks.
  • Assist with miscellaneous administrative tasks as required
  • Provide backup coverage for Administrative team as needed 

Required Experience: 

  • At least 3 years experience as an executive assistant supporting senior management.  
  • Excellent organizational and communication skills, attention-to-detail and positive attitude are a must.  
  • The best candidate is adept at handling sensitive information and working with multiple personalities under shifting deadlines and priorities while also being proactive, i.e., taking the initiative to solve a problem with little direction. 

Education: Bachelor’s Degree, minimum.
