Research and Development Admin Assistant

ABOUT THE ROLE

Be an integral member of a team to manage daily tasks and longer term projects as it relates to the R&D department for new meal launches from ideation to production. Your main goal is to organize, maintain, update, distribute and coordinate the flow of information of the Freshly Phoenix facility R&D department team members, NY Product team and Freshly Maryland facility team members.

Responsibilities:

Maintains R&D Usage Reporting- provides weekly totals of raw materials used for development and production trials to accounting department.  
Manages R&D calendar. Interdepartmental communications and coordination for new product launches.  Apprises R&D team of deadlines set forth by the NY Product Team for product launch documents. Updates all necessary documentation with each meal calendar change.
Perform light research for marketing materials for new product launches.
Communicates with NY Product Team about team goals and product needs.  
Filters customer comments to identify product issues that need to be addressed by Research and Development and Culinary Assurance Teams.  
Coordinates with vendors and purchasing for procuring product/new ingredient samples.
Create and distribute meeting agendas, attends meetings and sends follow up emails detailing events and next steps.  
Enters and validates data as assigned by R&D team.  
Filters email, files necessary attachments, keeps records of items requiring attention by R&D.  
Prepares documents to coordinate with purchasing, warehouse and production teams to arrange for production trial runs.  
Communicates and manages work orders for department needs with maintenance.  
Prepares and formats training materials and all other documents as needed.
Executes special projects and tasks as needed.

ABOUT YOU

· Bachelor’s degree in Business Administration, MIS, Communications, or related field
· 2+ years of experience in administrative work, operations, or related field
· Proficiency in Excel (including creating Pivot Tables/formulas/Gantts)
· Talent for communicating, influencing, and problem-solving
· Have the ability to work in a fast-paced startup environment - skilled at planning, organizing, prioritizing, and executing simultaneous projects and activities
· You are optimistic, resourceful, and ready to take on any challenge
