About the job:

We’re looking for an Office Manager to oversee daily operations for an office of 60 and growing! You would be responsible for critical tasks including managing our facilities, selecting and managing vendors, supporting executive staff, and overall ensuring that our ever-changing office ops run like a well-oiled machine. Success in this role is reflected when our relentlessly busy team is taken care of so they can focus on their primary responsibilities. 

Key Responsibilities:

  • Manage the reception area - welcome visitors, clients, candidates, etc. 
  • Work with our catering and food delivery vendors - ensuring kitchen supplies and snacks are always in stock.
  • Manage facilities vendors such as building maintenance and cleaning crews; maintain great relationships and supervise any repair projects, big or small. 
  • Procure office supplies and hardware. 
  • In partnership with accounting, manage and maintain the monthly budget for any office-related expenditures. 
  • Serve as primary administrative support for our leadership team.
  • Train new hires on our HR Benefits system (TriNet).
  • Assist sales, recruiting, and other departments with booking travel.
  • Set up biweekly happy hours at our Menlo Park HQ, and assist with other company social events.
  • Maintain an organized filing and storage system of employee records, as well as inventory of supplies and consumables.
  • Run local errands like mailings and shopping for supplies or other necessities as needed.

About you:

  • You have 3+ years of experience working in an administrative or operations role at a fast growing company, preferably in tech.
  • You have a strong desire to solve problems and constantly improve our systems of communication for the team to increase productivity.
  • You are a gifted “scheduler” and you can run circles around Google Calendar without breaking a sweat.
  • You have a positive and energetic personality, excellent listening skills, and strong writing skills.
  • You feel completely comfortable interacting both with engineers and executives.
  • You're technical savvy and have the ability to independently solve problems.
  • A can-do "make it happen" attitude: you are comfortable making decisions and getting things done with little supervision or direction.
  • You enjoy working in a fast-paced startup environment, and learning new things every day.
