Part Time Payroll & Benefits Manager

Spring is looking for an experienced part-time Payroll & Benefits Manager to join our NYC based team. The Payroll & Benefits Manager will be part of the HR team and lead all payroll and benefits processes for the company. Spring’s HR Team is small and committed to providing a high level of service for our 100+ employees. In addition to day to day process management, data entry and maintenance of Spring’s HRIS system, this role will also include long term planning and strategy. A great candidate will be some who:

  • Initiates projects and provides recommendations to streamline payroll processes and enhance benefits to create an amazing employee experience
  • Regularly reviews and updates  our HR handbook processes and documentation as needed
  • Researches legal changes that impact payroll and benefits and educates the internal HR team and employees

This is a part time or contract role and requires prior experience in payroll and benefits.

What you will do:

Manage Payroll  

  • Process Spring’s payroll, including any payroll related data entry
  • Maintain accurate payroll records and employee information by inputting pay changes, bonus and incentive payments, additional pay items, and deductions
  • Ensure compliance with applicable wage and hour regulations
  • Coordinate year end payroll reporting and issue annual employee tax documents
  • Manage all 3rd party vendor relationships related to payroll, including invoice processing

Manage Benefits

  • Advise new joiners and leavers on benefits and ensure processing is completed for enrollments, terminations, COBRA, and life status changes
  • Responsible for the management of FMLA, disability and other leaves of absence
  • Ensure adherence to all relevant regulations (HIPAA, ERISA, ACA, etc) and ensure all programs are properly administered and legally compliant
  • Maintain accurate PTO plans in the system
  • Conduct analysis to evaluate benefits vendor, review competitors and market to make recommendations for change and improvements
  • Lead annual open enrollment process. Assist with cost and budget analysis, vendor selection, contract negotiations, and employee communications
  • Lead development of company’s ad-hoc and fringe benefits including wellness programs
  • Create communication materials aligned with employer branding and population. Be thoughtful about wellness, flexibility, family policies – all within the framework of fairness and consistency
  • Coordinate year end reports including preparing and filing 5500
  • Manage all 3rd party vendor relationships related to benefits

Assist with Compensation Planning

  • Partner with VP of HR in development of policies, procedures, and improvements to compensation processes
  • Collect external benchmarking data and partner with recruitment team on benchmarking new hire data
  • Preparation of salary review files against benchmark data for yearly reviews
  • Prepare data on compensation and equity regularly for management committee

What you need to have:

  • 6+ years experience in payroll processing and benefits administration. Bonus points if you’ve worked in an HR capacity in prior roles
  • You should have strong knowledge of comprehensive benefits including health insurance, FMLA, and 401(k)s, as well as an understanding of industry trends related to benefits
  • You have a good understanding of applicable federal and state regulations and reporting requirements
  • Prior experience working with HRIS and payroll software
  • High level of integrity and discretion with capability to handle confidential and proprietary information appropriately
  • Preference for candidates who have worked in high-growth, entrepreneurial environments
  • Strong organizational skills, attention to detail and ability to prioritize
