Executive Assistant

Weedmaps is looking for an Executive Assistant to provide support and act as the primary source of contact on all matters pertaining to the executive team. This support function is vital to the organization. The candidate must be a very quick study, detail-oriented, have a strong ability to multitask and the constitution to work in a very fast-paced environment. This role will report directly to the President/General Counsel of the company. The ideal person will fulfill tasks and projects in a timely manner through effective prioritization and technical project management. This is a full-time position located in New York, NY.


  • Supports the President and NY team with administrative tasks including: managing an extremely active calendar of appointments; preparing correspondence that can be confidential at times, arranging complex travel plans, itineraries, and agendas
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information
  • Manages President’s daily tasks and individual tasks in a technical and operational fashion inside of a project management software. Understanding processes and workflow management is critical to this role
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Ability to maintain a hectic schedule in multiple time zones is a must. Ability to keep President well informed of upcoming meetings and commitments
  • Schedules and executes remote telecommunications meetings seamlessly
  • Prepares conference rooms and meeting materials at the President’s request
  • Assist President with management of legal and government relations initiatives
  • Works with other Executive Assistants on scheduling meetings and events. Coordinating with the CEO’s office staff is imperative to keeping initiatives on track
  • Welcomes guests and customers by greeting them, in person or on the telephone and by answering or directing inquiries
  • Completes projects by deadline and to supervisor’s standards
  • Prepares reports by collecting and analyzing information
  • Maintains a high level of attention to detail, especially when handling confidential documents and information
  • Maintains order and organization of Executive’s office
  • Communicates with Weedmaps' Office Support team frequently to ensure remote office needs are met according to Weedmaps' culture
  • Works with Office Support team on managing food and snack program for the NY office
  • Purchases and maintains inventory of office supplies, office equipment, and bathroom supplies for the office in accordance with company purchasing policies and budgetary restrictions
  • Occasional assistance in the street facing retail store


  • Bachelor's degree required, MBA or other advanced degree a plus
  • Experience working in software to manage projects and teams
  • Exceptional problem-solving skills and quick thinking
  • 1-2 years of project management experience
  • 1-3 years of experience working in an office setting
  • Strong written and verbal communication skills
  • Excellent interpersonal skills; ability to work successfully with teams across the organization
  • Knowledge of the cannabis industry is a plus
