Corporate Services - Office Manager and Executive Assistant

Role Description:

The opportunity is to manage the Singapore office and support Partners by providing all-rounded secretarial and administrative support. In addition to the standard duties associated with an Executive Assistant, you will liaise with global, regional and in-country leadership to ensure effective business management as per the Partners guidelines and expectations.

Executive Assistant:

  • Extensive calendar management
  • Liaising and building rapport with clients, colleagues and other EAs
  • Management and oversight of business projects, gathering data and project progress reports.
  • Strong business and commercial acumen and the ability to communicate with senior leadership.
  • Travel Arrangements - arrange flights, hotel accommodation, transportation, and restaurant bookings for business trips; prepare itineraries.
  • Business Correspondence - prepare meeting agendas, minutes, presentations materials, marketing materials.
  • Manage Expenses & Time reports – Submission of claims and time report in a weekly basis.

Office Manager:

  • Responsible for office management, such as ordering of office supplies and business cards, repairing and maintenance of office fixtures and equipment, support and greet visitors to the office, handling of calls and mail.
  • Facilitate events and functions in the office and arrange meals catering.
  • Support and coordinate on-boarding and off-boarding processes with local HRBP.
  • Collating of invoices and submit to finance in a regular basis.
  • Manage office access cards and all IT assets such as mobile and laptop.
  • Build rapport with vendors.
  • Support employees travel arrangements to Singapore, sourcing and booking of accommodation (hotel/ serviced apartment).
  • Work closely with the Risk & Compliance team, responsible in keeping the office guidelines and BCP up to date.

 

Role Requirements:

  • Previous experience of an Office Manager and EA supporting 2 to 3 directors
  • Flawless communication and presentation skills both written and verbal
  • Highly organised with the ability to multitask and prioritise workload
  • The ability to work under pressure and reach deadlines
  • Problem solving and decision making
  • Proactive, forward thinking, and can-do attitude
  • Ability and demonstrated experience to manage senior level stakeholders
  • Experience of the full Microsoft Office suite
  • Fluent in English
