Design Operations Coordinator, Tools & Access

About the role:

As an Design Ops Coordinator, you will support our client's global Experience Design organization and ensure a seamless designer experience from initial onboarding, and throughout their journey. You will play a pivotal role in maintaining the design tool suite, and enabling designers at all levels to deliver work with ease and efficiency. You will partner closely with the Design Enablement Lead, other Design Ops Coordinators and Design Leaders across portfolios. Responsibilities include managing the design organization tool suite, working with technical partners, developing key foundational resources and materials, and being a key point of contact for all team members.

What you will be doing:

  • Manage and maintain the design organization tool suite, including Figma, Invision, and Sketch, in addition to specialized tools, software and resources.
  • Manage and maintain a set of test accounts, test devices for various use cases
  • Act as a main point of contact for new team members, ensuring a smooth technical set up and ease of access to necessary tools
  • Maintain accurate tracking and monitor user activity across the tool suite to ensure licenses are managed effectively
  • Partner with external design tool account managers to ensure any issues are raised and resolved quickly, and renewals and licensing is managed effectively
  • Communicate with design leaders and designers in various forums and channels of any new features or resources available, or any known issues and timeline resolution
  • Coordinate with Design Ops in various locations and countries to ensure consistent access to the tool suite
  • Continuously review and evaluate design tools to understand which are best suited to meet the needs of Experience Design and the business
  • Partner with the Communications Lead to ensure awareness of current tool suite across the organization, and that documentation and resources are shared consistently
  • Develop & maintain documentation and playbooks for tools, software and resources

What you need to be great in this role:

  • 3+ years of work experience
  • 2+ years of relevant work experience in project management, technical/creative operations, creative production
  • A detail-oriented mindset
  • A passion for data-driven methodologies and data analysis
  • Excellent communication skills, both written and verbal, and ability to convey ideas effectively through slide presentations
  • Ability to work independently and proactively problem-solve
  • Ability to interact professionally and effectively with all levels of management
  • Advanced familiarity and experience with Google Suite
  • At the time of this posting, the base salary for this position may range from $70,000.00 to $80,000.00. Individual compensation varies based on job related factors, including location, business needs, level of responsibility, experience, and qualifications. The range listed is just one component of our total compensation package. 

Even better if you have:

  • Experience supporting in-house or consultancy design teams spanning design disciplines including product design, interaction design, visual design, content strategy, research, and engineering
  • A passion for teaching and learning from others to shape process and culture
  • Experience in improving process to create better outcomes
  • Familiarity using Smartsheets, Airtable and other project management software
