The Role:

As the Executive Assistant in Teforia’s Mountain View headquarters, you will have a direct and influential role in the company’s daily operations and ultimate success. With your ability to enhance the efficiency and output of each of the company’s top executives while simultaneously keeping the office running smoothly, you will be a key player in Teforia’s future.

You Will:

  • Directly support the CEO, CTO, and CMO in a variety of administrative and operational tasks
  • Maintain Mountain View office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and facilitating clerical functions
  • Coordinate event logistics, including rental booking, catering, transportation, etc.
  • Help support the SF satellite office as needed  
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments
  • Keep management informed by reviewing and analyzing special reports, summarizing information, and identifying trends
  • Protect privileged and confidential information through diligence and discretion
  • Facilitate communication within the company and with outside vendors, stakeholders, and partners--including communication with Taiwanese partners in Mandarin
  • Contribute to team effort by accomplishing required results as needed
  • Adapt and learn new things in a constantly changing environment.

Our Ideal Candidate Has:

  • 2+ years in executive administrative support experience, or similar
  • Previous experience with vendor management, ordering, and operational office functions
  • Top-notch organizational ability with a particular focus on calendars/scheduling, travel arrangement, task prioritization, and follow through.
  • Exceptional interpersonal skills
  • Exemplary written and verbal communication
  • A curious nature with an interest toward continued learning
  • Ability to speak fluent Mandarin

Bonus Points:

  • Experience supporting multiple people within an organization
  • Previously worked as an Office Manager or in a comparable role
