ROLE

The Chief Marketing Officer of our Commercial Real Estate division is seeking an executive assistant.  S/He will be called upon to be a key business partner that will enhance the CMO effectiveness by providing information management support as well as representing the executive to others. The successful candidate is experienced in partnering with a diverse set of constituents including our functional partners is sales, engineering and finance.

Reporting to the CRE CMO, the position is based in Belmont, CA. 

RESPONSIBILITES

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Completes projects by using effective project management skills.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.
  • Commitment to Company’s core values and guiding principles.

Knowledge, Skills and Abilities:

  • Minimum 5+ years as an Executive Assistant reporting directly to senior management
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific  programs and software.
  • Professional and exceptional communication skills for interaction with senior management, colleagues and clients.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Professional behavior and strong problem-solving capabilities.
  • Possession of strong organizational skills and ability to prioritize competing needs.
  • Able to work collectively with the administrative team
