Executive Briefings Intern (Toronto)


The Executive Briefings team is looking for an energetic, entrepreneurial, and bright intern to work with the Senior Briefing Advisor with coordination efforts for upcoming customer briefings. The intern will triage and select requests from the sales field to the appropriate subject matter experts and support teams. The intern may also be asked to welcome and seat clients upon arrival atPivotal offices.

Incepted in Fall 2015 out of overwhelming demand, the Executive Briefing Program helps Pivotal Sales to educate their customers, strengthen account relationships, and accelerate the sales cycle. This is accomplished through the delivery of high impact, customized customer briefings.

The Executive Briefing team is located in our Toronto and San Francisco offices, and supports all Pivotal Sales needs across the globe, for all our lines of business (Labs, Cloud Foundry, Big Data). We enable the Global Sales Field team and Technical Directors by supporting them on the development of executive briefings from pipeline to close.


We expect our Pivots to be able to quickly adapt to new technologies. We encourage on-site learning and the use of new technologies. Education and adaptation are a discipline, and central to our process. Some of the tools you will have the opportunity to master are:

  • Adobe InDesign
  • SalesForce
  • Pivotal Tracker (Our Internal Project Management Tool)
  • Google application


  • Responsible for coordinating the planning of customer briefings by leveraging the regional support teams including local concierge staff, facilities, tech evangelists and local speakers
  • Assist in maintaining the overall Master Schedule of events using the preferred tracking tool (e.g. Excel Master Spreadsheet and Salesforce Dashboard)
  • Coordinate with the account team and speakers to create the agenda, identify and secure the best executives and/or subject matter experts, and keep all stakeholders informed on the status of upcoming events
  • Discuss and determine overall plan for customer briefing with assigned sales representative
  • Collect all critical information on customer account, attendees, briefing objective, and relevant sales opportunity (through an automated request form process)
  • Establish a fundamental base of knowledge around Pivotal’s products and solutions
  • Work with the Senior Briefing Advisor for mentoring and guidance in solving common challenges
  • Work within the scope of the established processes, maintaining clear, consistent status communications and 100% data integrity
  • Assist with room blocks, securing dinner reservations, coordinating catering onsite to briefing rooms
  • Will directly order catering requests without having to go through the concierge desk
  • Ensuring briefing rooms are set in advance of customer visit
  • Manage calendar invites in shared schedule, confirm room blocks on the day of the briefing
  • Potentially greet and seat customers in representative absence or if impromptu schedule changes occur
  • Circulate agendas and reminders to the speakers prior to the customer briefing
  • Track and analyze sales data through Salesforce to assess sales flow, sales pipeline and quarterly/annual targets for data driven decision making
  • Support internal projects and improve existing processes, as needed
  • Develop strong relationships with sales field within identified territory
  • Excellent written and oral (both in person and over the phone) communication skills
  • Strong teamwork skills and an interpersonal nature
  • Leadership skill demonstrated through studies, work, extracurricular, or volunteer experience
  • Strong work ethic with the ability to reprioritize in a fast paced environment
  • Knowledge and interest of the mobile and cloud software industry
  • Impeccable attention to detail, strong organizational skills, and willingness to handle administrative aspects of the position
  • Understands the importance of customer service
  • Negotiate with management at all levels of the company
  • Flexible and able to work in a fast paced environment
  • Strong time management skills and able to work with shifting priorities
  • Proficient with Gmail, Google calendar, Microsoft Office suite, including Excel


  • Are passionate about data and cloud technologies with an understanding of the competitive landscape in which we operate
  • Have a get-it-done attitude – we are looking for someone that provides solutions to problems
  • Are a self motivated individual with ability to work independently and within a team
  • Have experience within a start-up or enterprise sales within a technology environment
  • Leverage SalesForce as a reporting and forecasting tool
  • Experience with event or conference management is an asset.
  • Can establish relationships with coordinate sales, marketing, delivery, and project stakeholders
