The Front Office Associate should be a self-starting people-person who fosters healthy relationships with internal and external stakeholders. This person will be the first point of contact at Wayfair and should have superior customer service and interpersonal skills. The ideal candidate will bring strong organizational skills, an eagerness to learn, and a friendly demeanor.

 

The Front Office Associate is a member of the Workplace Services (WPS) Team. The primary objective of the WPS team is to ensure a safe, clean, warm, welcoming, and efficient environment for our employees while promoting the Wayfair culture. In addition to administrative duties, this team member will be responsible for coordinating and completing tasks associated with the day-to-day physical operations of our office building. The Front Office Associate will work directly with a variety of vendors, stakeholders, and employees, consistently presenting themselves in a professional and helpful manner.

 

 

Responsibilities for this role include:

 

Office Management

  • Manage the company’s Charitable Giving and Sports Sponsorship Program
  • Manage business card orders
  • Print and distribute badges for new hires
  • Coordinate distribution of employee perks and benefits
  • Coordinate payments for Wayfair corporate sponsorship programs
  • Maintain a professional appearance of the reception area
  • Provide concierge-type service for employees and visitors
  • Greet guests and notify appropriate party of arrival
  • Receive all incoming calls - screen and direct calls to appropriate person
  • Align with the Workplace Services support teams on facility and security procedures
  • Sign for all packages and courier letters

 

Qualifications:

  • Strong verbal and written communications skills
  • A high level of professionalism and customer focus
  • Proficiency in Microsoft Word, Outlook, Excel and PowerPoint
  • Meticulous attention to detail and strong planning and forward thinking capabilities
  • Extremely high level of discretion pertaining to confidential information
  • Team player able to develop rapport and credibility with team members
  • Ability to meet deadlines, prioritize assignments, and juggle multiple tasks simultaneously
  • Senior presence and communication skills
  • Motivated self-starter
  • Previous experience in a customer service role is highly desired; the successful candidate will have a minimum of 2 years of experience in a similar role

 

Requirements:

  • Ability to alternate sitting and standing throughout an 8-hour period, and sometimes longer
  • Ability to use keyboard and computer screen
  • Ability to lift up to 50 lbs
