Requirements
The HR Administrator is responsible for supporting the HR Team in providing HR support to internal and external stakeholders for the company. You will act as the first point of contact for HR – related queries from employees and external partners. Your main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides) and updating internal databases. This individual needs to be eager to learn and support our Human Resources Department.
Roles and Responsibilities:
- Prepare, compile, and input payroll data ready for monthly payroll processing for both the US and UK liaising with 3rd party payroll providers. Review and approve all journal entries and reconcile the payroll general ledger accounts. Ensuring all statutory payments and employee voluntary payroll deductions are made.
- Ensure US state tax certificates and information is applied for and updated when required and uploaded onto the HR system (BambooHR).
- Liaise with the Finance Department in ensuring any changes including any reconciliations, statements and reports are compiled and distributed accordingly.
- Responsible for the complete onboarding and offboarding processes for UK employees – taking references/ POE, enrolling employees on 3rd party software including training sites, checking, processing and logging Right to Work documentation, assigning employee ID’s etc. . Creating contracts and issuing them out.

- Provide references if individuals require it for Visas/ if they need it if moving home.
- Running the Induction days, ensuring all involved are available and scheduled to attend when required.
- Scheduling the six-week reviews for all new starters.
- Scheduling the Eng/Ops and commercial intros and making sure all new joiners have been invited.
- Supporting the roll out of employee benefits, including the New Starter packs.
- Schedule exit interviews for leavers, making sure all forms are completed and recorded for data to be analysed.
- Maintaining employees training records to ensure compliance.
- Updating Organisation Charts for the SLT monthly meetings
- Raising Purchase Orders to ensure timely payment of vendor invoices
- Providing administrative support regarding bonuses, including preparation of documentation and assist with distributing
- Provide references for when employees leave the company.
- Supporting Recruitment in providing in creating NDA’s (Non – Disclosure Agreements) and sending them out to prospective candidates
- Assisting the wider HR team with project activities
- Support Social events
Qualifications, Experience and Skills:
- Working knowledge of outsourced payroll provider preferably ADP and HRIS systems.
- Previous experience of managing and interfacing with payroll providers.
- GCSE’s including Math, English, grade 4 and above or Level 2 Math and English
- Any business/retail related work experience
- Knowledge and understanding of business purposes and functions
- Strong attention to detail with the ability to maintain confidentiality
- Ability to record information accurately and takes responsibility for own work
- Keep calm, positive and work efficiently under pressure
- Ability to use own initially, work independently but ask for help/guidance if necessary
- Strong communication skills, both written and verbal
- Good IT Skills (Microsoft Excel included), with the ability to quickly learn new systems
- Excellent organisation and administrative skills
- People person, with the ability to build strong working relationships at all levels
- Experience in Human Resources or recruitment experience
- Ability to encourage ideas, initiative and innovation in others
Desirable
- A CIPD qualification (or working towards) is desirable
