Office Management
- Secretarial support to Chairman and Chief Executive Officer;
- Maintains office efficiency by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing of office vendors including tenancy agreement;
- Reception duties such as answering of incoming calls in a professional manner; receiving of visitors/guests; sorting and receiving incoming mail and deliveries;
- Arranging meetings and conferences, handling communication and processing related functions and documentations;
- Internal/external travel arrangements in accordance to Group Travel Policy;
- Ensure claims submitted for processing are in accordance to Group Claims Policy;
- Maintain the office’s entrance access.
- Support in compliance and enhancement of ISO 9000 and participate in internal and external audits for the department.
HR
- Handles the full spectrum of payroll and CPF contributions;
- Handles the performance management process;
- Handles the recruitment-related matters;
- Handles onboarding, transfers and offboarding of employees;
- Handles the Leave chart specially for Singapore companies via the HR system
- Handles all required reporting, employee matters, insurance renewals and government related reports and applications
- Participated and prepared the yearly HR Budget Planning;
- Work closely with the Head of Departments in the preparation of the Company Training Plan for theyear;
Requirements
- Min Degree in Business Administration or other related fields;
- Min 5 years of professional experience in similar capacity;
- Excellent knowledge of Microsoft Office (Word, Excel, Power Point)
- Working knowledge of Info-Tech HR System would be an advantage;
- Good knowledge of English both oral and written;
- Experience in a fast-paced environment will be an advantage.
- Excellent interpersonal, communication, planning and organizing skills;
- Good analytical thinking;
- Ability to work independently; Proactive, stress resistant and assertive;
- Representative; result oriented; team player and a change agent.
