The Human Resources Coordinator (Contract) will represent the HR Team as a primary contact for employees of Kiva. They will assist with the administration and support of the department. Responsibilities will include those related to each area of the HR Team, including Onboarding, Benefits Administration, Risk Management, Training, Employee Relations & Engagement and Communications.

As the Human Resources Coordinator (Contract) for Kiva Brands Inc., you will…

  • Auditing new employee information during the initial flow to HRIS
  • Regularly file any pertinent files or communication
  • Effectively process, store, organize and secure all terminated employee files
  • Enter and audit payroll-related entries such as wage changes and employee changes in HRIS
  • Conduct audits of employee data on a regular or as-needed basis
  • Oversee Employee Referral Program
  • Assist in the scheduling and execution of new hire orientation
  • Ensure that badges and items like business cards are ordered as necessary for new employees
  • Oversee the administration of the Greenleaf  benefits platform
  • Monitor and notify employees of eligibility to enroll in medical, dental, vision and other benefits
  • Answer benefits questions and assist employees in comparing plans and completing the enrollment process
  • Distribute annual required notices
  • Assist with other benefits such as the perks program as necessary
  • Assist with the administration and application of current policies/procedures and support the development and implementation of new programs.
  • Explain basic HR policies, procedures, laws, standards or regulations
  • Prepare relevant information for monthly company all-hands meeting
  • Assist in the administration of recognition programs, such as the COCOA award and anniversary recognition
  • Additional duties as assigned

What we’re looking for…

  • Bachelor’s Degree from a 4-year college or university; or one to two years related experience and/or training
  • Fluency in English (reading/writing/speaking) required; additional fluency in Spanish (reading/writing/speaking) strongly preferred
  • Basic understanding of Federal, State and local labor laws and regulations
  • Experience with Kronos/UKG or similar HRIS strongly preferred
  • Ability to organize and manage multiple projects as well as juggle changing priorities while meeting deadlines
  • Ability to work independently as well as collaborate with others
  • Strong time management skills
  • Excellent interpersonal and effective communication skills, both verbal and written
  • Critical thinking and problem-solving skills
  • Ability to think creatively to find practical solutions to complex issues
  • Ability to effectively prioritize and manage multiple responsibilities
  • Ability to effectively deal with employees from all departments and levels of management, some of whom will require high levels of patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflict
  • Ability to effectively present information and respond to employees from all departments and levels of management.
  • Excellent organizational skills, attention to detail and follow-through.
  • Thorough knowledge of Microsoft Office and GSuite Products
  • SHRM or HRCI credentials preferred
