The Legal Operations Manager - International is responsible for managing and supporting the tasks and projects across the full range of subject matters supported by the international legal team including, without limitation, corporate governance/recording functions, compliance activities and other related matters in the context of commercial contracts and transactions by performing a variety of law-related tasks under the direction of the Snr. Corporate Counsel International and in coordination with the Snr. Paralegal/Legal Operations Manager and the other team members of the Legal Team. The tasks include, but are not limited to, the maintenance, revision, and utilization of templates and related materials, filing documents for corporate governance, performing and maintaining records of substantive legal research, drafting, reviewing, and analyzing legal documents, responding to routine inquiries, and managing periodic licenses and certifications for our international affiliates and subsidiaries.

Responsibilities:

  • Prepare, file and maintain corporate records, minute books, annual reports, and related applications or forms and alert team members of upcoming actions regarding such
  • Prepare documents related to renewals of trade licenses in close collaboration with regional external counsels
  • Obtain certificates of good standing/certificates of existence
  • Organize and maintain contracts and legal files internally, both hard copies and digital files
  • Maintain an organized filing system of paper and electronic documents in Google Drive
  • Provide support to and participate in the preparation, execution and organization of commercial (sales and procurement) contracts and associated materials
  • Maintain KnowBe4’s internal Corporate Book and corporate documents for our international affiliates and subsidiaries; Prepare and maintain corporate documents, binders, and spreadsheets in close cooperation with the Snr. Paralegal/ Legal Operations Manager
  • Provide administrative support to Snr. Corporate Counsel International and other team members in the International Legal Sub-Section 
  • Assist with calendar management (e.g. schedule meetings)
  • Maintain the email flow for the International Legal team and respond to emails accordingly or advise/flag when a matter requires attention of one or more of the attorneys 
  • Obtain signatures on documents, print, scan and distribute signed agreements
  • Maintain high confidentiality as may be required for most correspondence and projects
  • Correspond with sales representatives and other internal personnel regarding various legal matters or queries and escalate/flag as needed
  • Maintain a list of pending customer and vendor contracts and update status as needed
  • Liaise with internal executives and staff at all levels in an appropriate manner
  • Interact with outside entities (e.g. regional outside legal counsels, service providers, and government agencies) to gather information, documentation or data

Minimum Qualifications:

  • Bachelor’s degree in a legal field\paralegal studies
  • A minimum of 6 years of experience, preferably as a Corporate Paralegal/Contract Manager, in an international, multijurisdictional and multicultural environment
  • Experience with Gmail and Google Docs
  • Experience with MS Office (Word and Excel)
  • Experience with web browsers (Chrome, Internet Explorer, etc.)
  • Strong verbal and written communications
  • Excellent verbal and written communications in English and at least one other business-relevant European language (e.g. French, Swedish, German)
  • Excellent time management and organization skills
  • Ability to deliver clear, concise and accurate messages to other stakeholders, verbally and in writing
  • Ability to establish priorities and objectives
  • Capability to take independent (anticipating) actions within the scope of authority and ask for, and offer help when needed
  • Hard working, resourceful, and well-organized
  • Working experience in a senior legal operations position/senior contract management position in an international, multijurisdictional and multicultural environment
  • Flexibility and willingness to work on a broad variety of matters
  • Ability to thrive in an entrepreneurial and dynamic environment (start-up mentality)
  • Positive attitude and commitment to professionalism 
  • Internet and electronic research skills
  • Proficient computer skills, with an ability to quickly learn new functions and applications
