As an Executive Affairs Intern at MassChallenge, you are responsible for supporting and owning administrative and special projects for the support of the MassChallenge Executive Team. You will report to the Director of Executive Affairs and join a small team of operational specialists with deep experience at MassChallenge who are supporting the long-term growth of the organization. You will get to see first-hand how the organization is growing and have many opportunities to help us reach our goals. You will work closely with the Director’s team so support the Executives and be a liaison between their work and the rest of the organization. You will be responsible for setting up meetings, preparing content, and support special projects.

This position will enable you to learn from the C-suite and provide perspective on operations within a company that is rapidly growing. You should thrive off a fast-paced work environment; have a willingness to roll up your sleeves, and the conviction to grow into an expert in the not-for-profit, global startup accelerator, and innovation economy realms. You will learn more than you can imagine in this role, so we are looking for someone who is excited to learn and grow as an individual and/or professional.

Major Responsibilities Include

  • Manage global team activities & meetings: Be a primary point of contact for agendas, logistics and overall experience for monthly Global Company All Hands meetings; Ensure people are prepared and on-time for those meetings
  • Coordinate Executive Team schedules, meetings, and calendars: Handle administrative functions for the Executive Team including scheduling and managing meetings and appointments, and managing correspondence with staff and constituents
  • Plan & support special projects & events: Assist in preparation for and advise the Executive Team on speaking events, engagement activities, and fundraising opportunities. For example, the Third Annual Golf Tournament and Auction which takes place at TPC Boston
  • Organize finances & other critical information: Assist with business card scanning and updating Salesforce. Assist with filing Executive Team expense reports
  • Be the company’s utility player: Assist with prep for HQ Board Meetings; Help be a point of contact from staff members to CEO and Executive Team; Assist with special projects and other duties as assigned

  • Strong organizational skills, including the ability to set priorities, multitask, organize time effectively, conduct research and identify resources for projects
  • Outstanding interpersonal skills, including ability to work both in groups and individually to meet goals and to develop strong working relationships with internal staff and external constituents
  • High degree of motivation and self-discipline with a strong work ethic. Maintains a conscientious approach to work with the ability to meet tight deadlines, anticipate needs and be proactive
  • Strong Microsoft Office skills and background – Word, Excel, PowerPoint; while also being able to quickly learn systems and processes specific to the department
  • Strong verbal and written communication skills, including proofreading and editing
  • Demonstrates sound judgment and discretion in handling confidential information
  • Commitment to providing high quality service through responsiveness to all requests and maintains a professional demeanor at all times

  • You are well-versed in technology: We use: Macs, PCs, Microsoft Office, Facebook, Twitter, LinkedIn, Google Apps (Mail, Calendar, Documents, etc.), Eventbrite and custom web applications and databases.
    • You don't need to be an expert in all of these platforms -- but you need to be competent enough with technology to learn new software quickly.
