We are looking for a responsible Office Manager/Administrative Assistant to perform various administrative and clerical tasks. Duties of the Office Manager/Administrator include assisting in daily office needs and managing our company’s general administrative activities


Job Description:

As an Office Manager/Administrative Assistant, you will manage various office functions including:

  • Manage reception area, answer and direct phone calls after the appropriate screening, attend to visitors and clients
  • Manage and maintain executives and manage schedules and appointments
  • Conduct research, collect and analyze data to prepare reports and documents
  • Organize and schedule meetings
  • Take detailed meeting minutes, distribute the minutes and manage communication
  • File and retrieve documents, records, reports, and reference materials
  • Manage day to day operations including mail and correspondence, copying, printing, scanning, office supplies, food/snacks, travel arrangements, office events, etc., while evaluating new deals/suppliers
  • Provide assistance in accounts, HR, and recruiting-related functions
  • Facility/Property management tasks for the office building
  • Coordinate project-based work
  • Provide assistance to executives and managers in the above areas, as well as handling ad-hoc requests and queries
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clientele


This is a fulltime position and there is an option for part-time also.

Requirements

Qualifications and Experience:

  • 3+ years of proven experience as an Administrative Assistant or Office Manger with a Software Consulting company performing administrative/managerial functions
  • Proficiency with Microsoft Office products including Outlook, Word, Excel and PowerPoint
  • High degree of attention to details and accuracy, and problem-solving skills
  • Excellent time management skills with ability to prioritize work
  • Strong organizational skills with the ability to multi-task
  • Excellent oral and written communication
  • Resourceful with ability to take things to completion, with exceptional interpersonal skills
  • The candidate should understand basic Information Technology and web terms
  • Knowledge / Experience with QuickBooks is desirable

Education:

  • Associate or Bachelor’s degree
