About the Job 

The Office Manager/Lead Medical Assistant will play an instrumental role in ensuring the efficient operation of the cardiology office by overseeing administrative functions, managing staff, and maintaining a positive patient experience. This position requires strong organizational skills, attention to detail, and excellent communication abilities. You will be responsible for a variety of patient care, technical, and clerical related functions. The Office Manager/Lead Medical Assistant is responsible for the clinic patient flow by assisting members of the patient care team and providing a broad range of health care services. You will report directly to the Vice President of Operations.  This position is estimated to start in June or July.

What you’ll do: 

• Oversee day-to-day administrative operations and staff of the Lynnwood office
• Ability to help Medical Assistants as needed.
• Manage scheduling of appointments, procedures, and consultations
• Coordinate patient registration, check-in, and check-out processes when necessary
• Maintain electronic health records (EHR) and ensure accuracy and compliance
• Handle insurance verification, billing, and claims processing
• Recruit, train, and supervise administrative staff, including receptionists and medical assistants
• Schedule staff shifts and ensure adequate coverage during office hours
• Conduct performance evaluations and provide feedback to staff members
• Foster a positive work environment and promote teamwork and collaboration
• Provide excellent customer service to patients, families, and visitors
• Address patient inquiries, concerns, and complaints in a timely and professional manner
• Ensure a welcoming and comfortable environment for patients during their visits
• Monitor inventory levels of office supplies, medical supplies, and equipment
• Coordinate orders and deliveries of supplies as needed
• Interview patients and document basic medical history 
• Update and file medical records and insurance reports 
• Arrange hospital admissions and laboratory services 
• Check with patients and type up patients' charts when necessary
• Assist during medical examinations 

What you’ll need: 

• Associate degree preferred or equivalent experience 
• 3-5 years’ experience in office management and in a lead medical assistant role of a healthcare practice
• Knowledge of medical terminology, billing processes, and healthcare regulations.
• Strong leadership and interpersonal skills.
• Proficiency in computer systems and software, including electronic health records (EHR) and Microsoft Office.
• Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
• Athena EMR experience preferred. 
• Medical Assistant certification required.
  

Work Location

You will work out of Lynnwood, WA office. 

Additional Information 

Full-time base salary range of $45,000 to $60,000 plus medical, dental, and vision.
