Office Manager

Marousi, Greece

Wedia, a Digital Business and Marketing Agency, is seeking to hire an Office Manager to join its team of experienced professionals. The position is initially for a 12-month contract, however according to performance and company needs it can be extended. The role is key for the uninterrupted flow of the company’s operations and daily life. The candidate will be in close communication with the stakeholders and will be responsible for supporting company's everyday processes.

Key Responsibilities

The role is responsible for a number of vital procedures that spread throughout the company and its departments:

Financial procedures

  • Monthly customer invoicing
  • Organising monthly payroll in collaboration with external accounting office
  • Cross checking of balance agreements and accounting records
  • Following up with client payments / credit control
  • Forecasting invoicing and cash flow
  • Suppliers invoices book keeping in collaboration with external accounting office

Operational procedures

  • Cooperation with New Business Department:

- Contract creation and sign off

  • Cooperation with Project & Account Managers:

- Project status and payments alignment

- Project extensions and support hours/invoicing management

- Support contracts invoicing

  • Cooperation with Performance team:

- Media spending invoicing management

  • Cooperation with IT:

- Hosted sites, contracts and invoices alignment

- Contract termination handling

- Online tools subscriptions and orders management (renew/cancel/change)

HR procedures

  • Managing agendas/travel arrangements/appointments for the upper management
  • Handling legal, financial and personal information during hiring procedure
  • Introducing new employees and ensuring they have a smooth onboarding
  • Managers and Employees evaluation process
  • Managing employees’ vacation calendar
  • Managing staff expense requests
  • Organizing company events

Requirements

  • Bachelor’s degree in operations management, business administration, humanities or financial-related field or relevant experience
  • Experience in management, operations and leadership
  • Understanding of general finance and budgeting, including profit and loss, balance sheet and cash-flow management
  • Understanding of legal and regulatory documents
  • Ability to build and maintain relationships among managers, clients, partners and employees
  • Excellent oral and written communication and people skills
