Office Manager

We are looking for an office manager to manage our (semi-virtual) frontdesk, as the friendly face of our SG office!

The Lowdown

  • Your work spot will be the centrepiece of our beautiful shophouse in the heart of Chinatown.
  • Our fancy front desk counter actually doubles as a bar, so it's a pretty cool space to have your "office desk”. 
  • As our full-time Office Manager, you won't just be giving people a warm welcome figuratively but also literally (when people can actually visit the office), providing guests with a hot beverage or a cocktail, when the situation is right. 
  • You’ll be the face and voice of the office, receiving clients and calls, and helping to prepare (video conference) meetings.
  • You make sure our new office looks just as nice as the way you greet people on the phone: you’re the one that makes us look good by creating a thriving atmosphere. Even when that experience is virtual. 
  • You’ll handle facility issues with the landlord, and arrange a handyman/plumber/magician when the job calls for it.
  • You look after incoming and outgoing deliveries — managing more packages than Santa on an annual basis.
  • You make sure our office is stocked with nice beers and other treats, scouring local markets for the best ingredients to top off your G&Ts.
  • You’ll also look after office stock and purchases (i.a. office supplies, laptops, smartphones, small groceries, etc.).
  • Since our office serves as the regional hub for the rest of SEA and some of APAC, you will be responsible for large purchases, shipments and possibly other admin matters for KL, KR, and other offices. 
  • You will also be responsible for improving sustainability, making sure the office is as planet-friendly as possible, and reporting on this to head office.
  • You'll collaborate with the MD to make sure the office is Covid-compliant and safe for all.
  • You'll liaise with our Global Events Team to organize fun things in and around the office, sharing pictures and other nice stuff for our social channels.

Requirements

  • For this People-facing role, we’re looking for someone with a calling for spreading good vibes and caffeine by helping with the overall smooth running of our Singapore office.
  • You speak English at a high professional level; it’s a big plus if you also speak (some) Mandarin, Malay, Tamil, Korean or Japanese. 
  • You’re available full-time, but we'll be flexible about that, allowing you to adjust your schedule to meet the needs of our global / regional network when required. 
  • Your attitude and capabilities transcend your credentials — it’s about what you’ll bring to the table, not necessarily what you’ve done in the past. We're open to anyone from any field with the right mindset.
  • You care about the people you work with, and go above and beyond to make the office space a warm and welcoming space for all the Monks who work here. 
  • Your attention to hospitality is unrivalled; you’ve got a knack for maintaining an amiable environment for our guests when we have them. 
  • You take pleasure in welcoming visitors and taking calls from all over the world, knowing how to help out people in any way you can.
  • You’re resourceful, with impeccable organisational skills and an ever positive attitude for getting things done.
  • You have an international sensibility and have no trouble working with and across multiple teams from all over the world, including the CEO and Managing Director in SG. Some of the time they will be answering to you
  • Being responsible for most of the large purchases for the region, you are scrupulous when it comes to managing expenses. 
  • You like to streamline the business commitments of our team, making the whole office run like clockwork. 
  • You’re proficient in Google Suites, MS Word, Excel, Outlook and, most importantly, writing Post-it notes (esp. on plastic containers that aren't recycled or reused TSK TSK).
  • It would be a bonus if you know your lattes from your macchiatos and your G&Ts from your Singapore Slings.
