About the Role

The Evernote Redwood City office is our Headquarter location. We are looking for a person that’s excited to wear many hats by partnering with the Workplace Services, People, and IT teams to provide an awesome experience for employees, candidates and visitors. You have a real passion for customer service to join our team. We care deeply about our office environment, how it looks, and what it says about us. You will be responsible for the presentation of our space and will maintain and improve the experience for everyone who visits us. You will also provide additional support for the facilities team, leadership team and recruiting team to assist with scheduling vendors, guests and various on-site events.


What you’ll do

  • You are the first impression in our office and will provide service with an enthusiastic, positive attitude and strong background in customer service.
  • You will develop, present and implement creative solutions to everyday challenges.
  • You will streamline processes and offer alternative solutions to areas that could use improvement.
  • Oversee entry to the office during open office hours.
  • Warmly greet tenants, visitors, partners, vendors, and candidates.
  • Help maintain a safe, clean, organized and welcoming environment.
  • Promote a positive front office atmosphere and a collegial corporate culture.
  • Oversee shipping and receiving of USPS, FedEx, UPS, etc.
  • Maintain confidentiality of employee and business information.


...to support People Team/WPS needs

  • Start everyone’s day right! Make sure there’s coffee, supplies, snacks and conference rooms  ready to go first thing every single day (M-F). Load the dishwasher at the end of each day.
  • You are the first impression and point of contact for both internal and external visitors to the office, including meet & greets for candidates.
  • Lead regular employee event set up (food & decor prep, catering link, etc.) as well as occasional meet-ups and gatherings at our offices or other locations, including occasional events outside of standard business hours.
  • You will schedule services with outside vendors and partners, with an eye toward efficiency and the least impact on the team. 
  • You will act as the onsite liaison between our team and the office building’s management, maintenance and security staff.
  • You will work independently and with the Workplace Services team to set and ensure objectives are met and services are consistently achieved.


...to support IT needs

  • Working knowledge of mac OS and familiarity with Windows, iOS, and Android administration.
  • You will Help Desk support for employees with hardware & software issues, in collaboration with our IT team.
  • You will craft and maintain documentation on technologies and procedures.
  • You will maintain inventory of equipment and other IT assets.


What you’ve done

  • Associate's degree in administration or equivalent experience.
  • 2+ Years of professional work experience in Office Administration, Facilities, Events, HR or any customer service oriented field.
  • Availability to work a regular schedule of Monday through Friday, 8-4:30.
  • Startup experience preferred.
  • Excellent communication skills.
  • Ability to multitask, prioritize multiple projects and troubleshoot.
  • You work well with peers and generate business relationships interdepartmentally as well as have an innate willingness to roll up your sleeves and get their hands dirty.
  • You are a self starter and have the proven ability to self-manage and work independently.
  • Extraordinary organizational skills and attention to detail.
  • Flexible work schedule (nights and weekends on occasion).
