Payroll and Benefits Specialist

Molekule is looking for a smart, eager, and detail oriented  Payroll and Benefits Specialist to support our People Operations team.  As the Payroll and Benefits Specialist, you’ll be an integral part of the team, providing expertise and insight to ensure optimal processing and administration of both payroll and benefits programs across the organization. This is a newly created role reporting to our VP of Global People Ops, and is an exciting opportunity to not only leverage your expertise, but also learn and develop at a high growth company with a positive work culture.

While our preference is to have someone based the Lakeland/Tampa Bay, FL area, we are open to a fully remote work arrangement.

What you will own:

  • Serve as the primary liaison between Molekule, our payroll/benefits platform Paylocity and our benefits carriers and brokers.
  • Process bi-weekly payroll for nearly 200 (and growing!) multi-state exempt and non-exempt employees including calculation and tracking of all additional pay types (bonuses, reimbursements, taxes, liens etc.) 
  • Ensure new employees are set up correctly in payroll, enrolled in benefits, and have W4’s/state tax forms completed.
  • Ensure all Leaves of Absence are tracked appropriately in Payroll & Benefits systems, including Covid-19 related leave.
  • Own all documentation and maintenance of payroll and benefits records to meet the needs of our finance team.
  • Maintain multi-state compliance by opening new state unemployment insurance(SUI) and employer tax accounts, reactivating or closing existing ones, while also working with state labor & workforce departments on ongoing compliance and registration requests.
  • Manage compliance processes such as: W2 and 1095C distribution, San Francisco’s HCSO program, ACA and EEO-1 reporting.
  • Field questions related to payroll and benefits from Molekule staff. 
  • Drive quarterly and year-end review process to capture all taxable payments and ensure accurate W-2’s. Submit accurate and timely payroll-related filings.
  • Administer health & welfare benefits and process billing and vendor payments based on enrollment. 
  • Coordinate educational and training programs on changes in benefits, payroll, etc. as needed. 
  • Partner with internal trainers and external vendors for payroll, benefits, HRIS systems, training.
  • Develop and prepare communications to employees about benefit programs, procedures, claims and any other government mandated disclosures.
  • Develop and write custom payroll, benefits and people data reports in Paylocity, and provide insights to internal stakeholders.
  • Conducts special analyses of findings and recommends practical solutions; audits and maintains employee files pertaining to payroll/benefits changes.

What you will bring:

  • Bachelor’s degree, or equivalent work experience.
  • 3-5 years relevant experience processing multi-state payroll, and administering benefits programs.
  • 2+ years working in the Paylocity platform.
  • Strong analytical and organizational skills with a proactive approach.
  • Demonstrated experience in payroll and strong working knowledge of general payroll protocols.
  • Must be proficient in use of Microsoft Office and Google Suite with a demonstrated capacity to learn new systems as needed. 
  • Strong interpersonal abilities and conflict resolution skills.
  • Excellent written and verbal communication skills. 
  • High attention to detail.
  • Commitment to customer and employee service.
