The Role:

We're looking for an experienced, savvy Recruiting Coordinator and Administrative Associate to join our team. Do you have experience coordinating/scheduling for a fast paced company? Are you a quick learner who enjoys learning new processes and procedures, then developing your own? The Recruiting Coordinator & Administrative Associate is primarily responsible for scheduling interviews for our clients and the day to day management of our office. This means that your scheduling processes and systems will vary from client to client and moment to moment, so you'll have to be super organized to keep everything straight. You'll also field a ton of questions from internal team members, candidates, and clients alike, and be in charge of communicating, coordinating, and prioritizing among everyone involved. Since you'll touch on all aspects of our company, you'll have a large influence on our company culture - a positive attitude and willingness to help is a must!

Things you’ll do:

  • Work with our Recruiting Coordinator to schedule interviews for our clients and candidates.
  • Manage the process of getting our roles opened in a timely manner, from posting job ads to creating tools to make our recruiters experts on our roles.
  • Harness your passion for supporting growing companies by helping our Client Services team form lasting relationships with technology leaders in the Bay Area. This will include scheduling and confirming meetings, completing research projects, and key information management.
  • Help our office run smoothly each day! Manage everything from maintaining office supplies to greeting guests.
  • Lead every day with a service-first mentality.

Our Ideal Candidate:

  • Has prior experience as a recruiting coordinator/scheduler - you know how to manage multiple priorities and keep things from falling through the cracks.  
  • Has prior experience as a personal, administrative, or executive assistant - ideally within a technology or services company environment.
  • Is smart, detail oriented, dedicated and a quick learner. While we've developed a lot of processes, we're always trying to be better - the more you can help us come up with ways to be more efficient, the better!   • Has excellent verbal and written communication skills - you’re comfortable crafting polished emails to executive level clients and candidates.
  • You are a strong team player - is professional, accountable, and reliable. You know how to coax the best out of others without sacrificing quality or productivity.

Bonus Points for Experience:

  • Working at or with startups.
  • Managing external clients or stakeholders - you know how to make email your best friend.
  • Managing multiple calendars of busy executives.
  • With recruiting tools and applicant tracking systems like Greenhouse, Jobvite, Lever, etc.
  • With Gmail and Google drive: Google calendar, sheets, docs, and slides.
