JOB SUMMARY

Joining a growing internal recruitment team, reporting to the senior manager global recruitment the recruitment coordinator will be vital in supporting the teams global recruitment efforts. As a team of 5 the recruitment team deliver new hires across all disciplines and office locations. This coordinator will work on vacancies ranging from software engineers, through product management and designers to copyright administrators or client managers.

 

The core aim is to hire candidates who represent a great skills and culture fit and to enhance our commitment to diversity in the workforce. WHAT DOES A RECRUITMENT COORDINATOR AT KOBALT DO?

 

Candidate search & Assessment

  • Basic searching on job boards/LinkedIn research/List building
  • Write copy and manage job postings on paid media and social
  • Support the management of relationship with advertising partners or recruitment agents
  • Assist in the planning of recruitment events and interview assessment days
  • Filter applications from advertising, events, referrals or agency partners
  • Support consultants on telephone screenings/online testing

 

Interview & Candidate Management

  • Phone/video/F2F Interview and wash up scheduling
  • Set up a candidate for success providing all interview preparation details
  • Chaperone candidates when on site to deliver a 1st class candidate experience
  • Follow up and get feedback on interviews
  • Professionally reject declined candidates

 

Offer Management

  • Put together offer packets for management board review
  • Using templates compose offer letters and contracts for mgt review and send
  • Review contracts for agency / ltd company contractor
  • Ensure details of new hires is correct on HRIS
  • Ensure appropriate credit and reference checks are carried out
  • Manager new joiner form

 

Administration & Systems 

  • Basic management of headcount budget spreadsheet
  • Track agency usage and details of term and conditions
  • Set up PO numbers for recruitment services for review
  • Track and reconcile incoming invoices and timesheets against terms and schedules
  • Maintain records on contractor start and end dates and manager renewals
  • Greenhouse admin (job set up/candidate processing/rejections/scorecard chasing and templates)
  • Data collation from various sources for trend analysis, assessment of KPIs and reports
  • Co-ordinate Recruitment training
  • Support the production of content for recruitment newsletters
  • Minute recruitment meetings and distribute action points

 

WHAT SKILLS AND EXPERIENCE ARE WE LOOKING FOR?  

 

  • Minimum of 2 years experience supporting a recruitment function or providing administration support to a busy team
  • Experience in a telephone based role
  • Strong system skills and experience including MS Office (Excel, Word, PowerPoint)
  • Use of technology – business applications/project management tools / social media or email for marketing
  • Exemplary customer service skills and evidence of going out of one’s way to deliver
  • Proven ability to prioritise and organise work load to meet deadlines
  • Excellent attention to detail
  • Excellent communicator – Verbal, written and interpersonal
  • A positive and proactive attitude with ability to overcome challenges and solve problems
  • Strong desire to develop a career in recruitment
  • Loyalty and commitment
  • Degree level of education or equivalent experience
  • Resilience and tenacity to work under pressure
