We're looking for a driven, detail-oriented, and personable Senior Recruiting Coordinator to join our rapidly growing team in Playa Vista. This individual will handle a wide variety of responsibilities including owning all Recruiting logistics, including scheduling interviews, booking conference rooms, preparing interview panels and hiring teams, ensuring data integrity and proper documentation in our ATS, and above all ensuring a top notch candidate experience. This role is an integral part of the team, building lasting relationships and often providing candidates and future employees with their first impression of the company. The ideal candidate will possess a high level of attention to detail, the ability to work proactively amidst rapid changes and often ambiguous requirements, and most importantly a passion for connecting highly intelligent, best-in-class professionals with their dream job. 

What you'll be doing:

  • Schedule interviews (phone, video, technical, on-site, etc) & oversee the entire interview processes to ensure an outstanding candidate experience
  • Own - and hone - a white-glove recruiting coordination process that is efficient, effective, customer-service oriented and cohesive from start to finish. 
  • Secure interview locations, coordinate travel and candidate arrival, provide all necessary details, and ensure a prepared candidate and interview panel
  • Greet and guide on-site candidates throughout their interviews, and fill in whenever gaps occur
  • Facilitate a smooth, seamless transitions for candidates and interviewers
  • Manage multiple roles, activities, and projects at once
  • Communicate with candidates and provide all logistical information such as directions to the office, interview panel, job descriptions, reference collections, etc.
  • Document and log all relevant information within our ATS, Greenhouse, including job descriptions, resumes, interview panels and stages, scorecards, and milestones in order to maintain data integrity
  • Champion our hiring process and adequate use of our ATS internally by sending scorecard reminders, arranging feedback debriefs, advancing candidate stages, creating notes, tagging relevant users, and educating employees on how to optimize use of the platform
  • Post jobs to internal and external job boards
  • Manage and ensure timely candidate process, including feedback and expense reimbursement
  • Maintain a high level of confidentiality and professionalism at all times to facilitate a white-glove candidate & stakeholder experience for all

What you bring to the table:

  • 5+ years of hands-on Recruiting and/or Recruiting Coordination experience
  • Expertise with all features of G Suite (Gmail, Google Calendar, Google Drive, etc.)and Mac proficiency
  • Experience with Greenhouse, expertise preferred
  • Organizational and logistical prowess (i.e. must enjoy scheduling) & attention to detail
  • Excellent written, verbal, and interpersonal communication skills
  • A proactive nature; you aim to foresee potential conflicts ahead of time and take preventative action
  • Comfort with ambiguity; you operate effectively in a fast-paced, rapidly changing environment
  • A willingness to go the extra mile; arriving early and staying late when needed, speaking with/meeting candidates on weekends when necessary. You do what it takes to get the job done!
  • A white glove customer service mentality towards candidates, hiring managers, and interview teams; accountable for all interviews and meetings you plan
