For our regional headquarters in Singapore, we are looking for an
Office Manager (f/m/d)
Your main responsibilities
- Oversee the day-to-day activities of the office as the main point of contact to support the Singapore and APAC team, keeping management informed of performance with routine and requested reporting
- Ensure a consistently organised office operation and provide proactive measures by identifying concerns and challenges
- Maintain office efficiency and handling correspondence and overseeing supplies and equipment inventories
- Implement established policies and procedures, measure outcomes against standards, and improve office operational flow when identified
- Ensure all administrative policies and procedures are being followed in the Singapore office
- Assist with set-up of new joiners for Singapore office including arranging of security passes, organising desk location, arranging for issuance of stationary, equipment and completing facilities induction
- Manage allocation of security passes to ensure that all security passes have been allocated and any lost or stolen passes have been cancelled
- Manage internal and external events that are held in the Singapore office
- Coordinate and schedule ad-hoc appointments or events for the APAC management team
- Maintain a good working relationship with Building Management and distribute relevant information about the building works and/or events as required
- Coordinate office moves, including internal office and desk moves to larger whole office relocation
- Liaise and manage external contractors for office repairs and renovations
- Manage relationships with external vendors and suppliers
- Place orders for Singapore office supplies, including stationary, equipment and pantry food / drink
- Ensure a safe working environment by regularly inspecting Singapore office for workplace health and safety issues
- Be the primary point of contact for Global Organisation team on Singapore office matters, including providing data and information required about Singapore office
- Report any security related issues such as broken locks or doors to the appropriate vendor to be addressed
- Attend to ad hoc requests and queries by employees on all Singapore office matters
- Manage Singapore office volunteers for Fire Warden training through Building Management and ensure fire safety measures are followed
- Provide supervision, support and guidance to Singapore office support staff and ensure support staff levels are adequate, and resources provided are sufficient for business operations
- Make arrangements for visiting employees from other Aquila offices and ensure they are adequately accommodated during their Singapore visit
- Any other Office and Management support related task as required
Your qualifications and experience
- You have a Diploma or equivalent qualification
- At least 10 years of work experience in an office management role
- Strong organizational and time management skills, and ability to prioritize
- Highest standards of ethics, integrity and judgment
- Strong cross-cultural communication skills
- Excellent teamwork skills and ability to partner with business and corporate functional colleagues, external stakeholders and staff
- Proven ability to collaborate and to engage effectively with all levels of staff and management
- Highly organised, detail oriented, efficient, resourceful with strong follow-through and passion to “make things happen”
- Confident handling of MS Office
