Talent Acquisition Operations Analyst

We are looking for an experienced Talent Acquisition Operations Analyst to join our Talent Acquisition team in San Bruno, CA and help grow our company to the next level. You will ensure that hiring managers are supported through the recruiting process and candidates have an excellent experience through the application journey. You will help communicate with and schedule candidates on a timely manner and with a sense of urgency. Reporting directly to the Talent Acquisition Manager, you will be working closely with our recruiters and the other recruiting coordinator and partnering with hiring managers to achieve your goals. Most importantly, you get energized by bringing smiles to your partners and your candidates and enjoy having the chance to help build an amazing company into its next phase of growth. 

Essential Responsibilities: 

  • Facilitating the entire candidate interview process and providing excellent experience to candidates throughout
  • Scheduling a high volume of phone and onsite interviews with hiring managers locally and remotely
  • Maintaining the company's careers page and other job posting sites
  • Scheduling travel for candidates and new hires as part of their onboarding
  • Supporting multiple hiring managers at a time in recruiting coordination activities
  • Communicating with candidates and being an internal resource for them
  • Managing records for all candidates through the use of our applicant tracking system or other tools
  • Ensuring hiring managers are well-informed about the process and are prepared in advance to speak/meet with candidates.
  • Handling miscellaneous recruiting administrative tasks on an as needed basis – sourcing, onboarding, orientation, ad-hoc reporting, etc
  • Exhibiting high levels of confidentiality in all tasks, adapt quickly to changes, and effectively prioritize work
  • Proactively identifying and taking action on areas of process improvement
Key Skills and Qualifications: 
  • 2+ years of recruiting coordination experience (in fast-growing startups or tech companies preferred)
  • Outstanding customer focus with an attention to detail
  • Ability to manage multiple requests with a sense of urgency and strong adherence to the process
  • Great communication skills and diligence in following up with managers and candidates alike
  • Strong sense of ownership and responsibility towards candidates and managers
  • Experience working with ATS systems required
  • Experience at prioritizing high volume, high priority tasks
  • Great team player with strong collaboration skills
  • Diligent and very meticulous in data-entry
  • Ability to exercise judgment and discretion with sensitive, confidential information
  • Ability to handle administrative details independently - flexible, able to change direction quickly
  • Great collaboration skills - willing to pitch in where needed
  • Comfortable in a fast-paced environment and in dealing with ambiguity
