The Team Assistant is responsible for providing day to day administrative support to the Operations Team and ad hoc support for other team members as needed. The Team Assistant will possess strong organizational skills, attention to detail and the ability to accomplish and prioritize multiple tasks. They will act as the main point of contact for administrative activities, support team productivity, and develop efficient administrative processes. 

Key Responsibilities

  • Manage calendars, organize internal/external meetings, appointments, and other relevant events
  • Coordinate and schedule team and client meetings and manage the use of meeting rooms
  • Coordinate and book travel arrangements. Provide support during travel to ensure schedules and appointments are maintained
  • Submit and reconcile expense reports
  • Maintain appropriate databases and records, process expenses, and manage relevant administrative processes
  • Prepare meeting agendas and take meeting minutes, and track follow up actions as needed
  • Contribute to projects and activities as appropriate for the team (e.g., project co-ordination, research, presentation, and communication support)
  • Take on other ad-hoc administrative tasks or other duties as assigned

Requirements

  • Minimum of 2+ years of relevant experience in customer service, administration or another relevant field required. Previous experience working in a professional services firm is preferred. Recent Graduates with relevant internship/part-time experience will also be considered.
  • Impeccable administration and organizational skills; exceptional attention to detail and ability to effectively multitask.
  • Excellent oral and written communications skills, with experience using a variety of communication tools, including Zoom, Microsoft Teams, etc.
  • Highly collaborative working style with excellent interpersonal skills
  • Highly proficient with Microsoft Office tools, including Outlook, Word, Excel and PowerPoint
