We're looking for a Workplace Coordinator who will excel at organizing and assisting the Workplace team with local initiatives. We are looking to you for employee informational services, efficient communications to assist the team, and exceptional guest concierge services. In this full-time role, you will support an office of over 150 people as well as external visitors and guests. 

This position is based in our Jersey City, NJ office headquarters and will report to the Senior Workplace Manager

What You’ll Do:

  • Own the reception experience at the Collectors Jersey City office, fostering a thriving and inclusive office environment
  • Manage and coordinate office operations, working within and developing new SOPs for the Workplace team
  • Assist the Global Workplace team with key programs and initiatives in line with the West Coast Workplace team
  • Own and maintain OfficeSpace for seating and space planning for the Jersey City office
  • Monitor and update Zendesk tickets to ensure resolutions are being met in a timely manner
  • Complete clerical and administrative tasks within office to support daily operations
  • Answer phone calls and direct to the appropriate party
  • Welcome and check in visitors and customers into the office
  • Work with the Concierge team  to assist customers with pick-up and drop-off submissions
  • Coordinate vendor communication and scheduling with building management partners

Who You Are: 

  • 2-4 years of reception experience or 1-2 years of Coordination experience, especially within a large office setting
  • Excellent verbal and written communication skills to interact clearly with customers, vendors and other employees
  • Proficient using Zendesk and other ticketing systems
  • Familiarity with OfficeSpace or other spatial planning software
  • Have the ability to adapt quickly 
  • Exceptional team working skills 
  • Strong attention to detail and accuracy
  • Can-do attitude and eager to learn

Hourly Range: The hourly range for this position is $21-$23. Actual compensation in this range will be based on a variety of non-discriminatory factors, including location, job level, prior experience, and skill set.
