You would be supporting the Pest Control & Hygiene business in Mozambique

Requirements

A vacancy has arisen for a Branch Administrator in our Mozambican Business based in Maputo

To ensure the efficient and effective control of the Branch portfolio, administrative systems and operational costs.

KEY WORK OUTPUTS & ACCOUNTABILITY

  • Verification, processing and documenting of Service Agreements
  • Raise and Follow up on manual Invoices to all clients on a monthly basis
  • Stock Control and raising of purchase orders Capturing stock movement and resolving stock variances
  • Planning and Scheduling services with all customers on a monthly basis including installations
  • Commission payment calculations
  • Termination requests- follow-up, processing and documenting
  • Debtor credit requests
  • Purchase orders, petty cash and cheque requests
  • General Ledger and Trading Account
  • Fleet management - capture, document and monitor petrol consumption, repairs, tyres
  • Accounting documentation is submitted to the accounting department on a monthly basis
  • Complete daily, weekly and monthly iCABS (admin system) housekeeping as required to ensure that planning and routing systems operate at optimum level
  • Run various service reports in order to assist the supervisor in monitoring technicians productivity and the state of service at 100%
  • Maintain data in the system ensuring that it is accurate and up to date
  • Maintain filing system for service cards and work lists
  • Complete the overtime for the country and submit to Salaries.
  • Assist with imports in the country.
  • Ensure the office systems, policies,controls and procedures are in compliance with the current regulations/legislation
  • Ensure all sales are loaded on to the system according to the pipeline
  • Liaise with suppliers to ensure best prices and negotiate credit terms.
  • Assist colleagues with travel planning(accommodation, vehicle rental & meal allowance)
  • Ensure CVC is being conducted and log tickets when necessary
  • Ensure accruals are done on a monthly basis
  • Ensure company documents are updated annually( company licence, advertising and economic activity certificates)
  • Provide administrative support to the Beira branch
  • Ensure inter stock transfers are done between the Maputo and Beira branch on the system.

Do you have what it takes? If you want to be considered for this role you will need:

  • Matric certificate or equivalent
  • Tertiary education in a related field is advantageous
  • Previous experience in a similar role
  • Fluency in Portuguese and English is essential
  • Computer literate - MS Office
  • Above average numeracy skills
  • Good knowledge and experience in Administration, Planning and Routing
  • Must be customer focused oriented - both external and internal customers
  • Ability to identify customer needs and solutions
  • Display initiative and be proactive and show high integrity and reliability
  • Highly developed communication skills, both written and verbal
  • Good Organisation and planning skills
  • Problem solving I solution driven
