About the Role

The Business Operations Group is responsible for the planning, organising and delivery of the business operations deliverables, processes and data governance across the Australia-wide markets and staff (~3,500). This is in conjunction with ongoing business as usual activities including, but not limited to, project and contract data administration, financial processing, financial analysis, system compliance, exception reporting, training and support.

The Business Operations Coordinator will work in a supportive and high performing team, which includes Practice Leads and Operations Managers, to carry out the functions of the Business Operations Group. Whilst this role will specialise in the project services function there will be opportunity to cross skill over a large scope of services and become a generalist within the Group.

Your day-to-day duties will include:

  • Load projects/contracts into the ERP and PSA toolset.
  • Load variations, sales orders, purchase orders, resource plans, and other artefacts into the ERP and PSA toolset.
  • Maintain financial records and provide regular reports on project spending and budget status.
  • Collaborate with project managers and team members to ensure that financial processes and policies are understood and adhered to.
  • Monitor project spending/WIP and ensure that invoices are processed in a timely and accurate manner.
  • Provide training and support to project teams on systems, tools, processes, and reporting.
  • Exhibit strong technical writing skills and create user guides, training materials, and documentation.
  • Provide support for audits and financial reviews, including preparation of documentation and review of findings.
  • Monitor system hygiene and follow up stakeholders for compliance.

What you’ll bring:

You will be an exceptionally professional person who has incredible communication skills - both written and verbal. You have demonstrated Project Administration or Project Contractual/Commercial Administration and Project Financial Analysis experience, or experience in Project Delivery Coordination. You have a detailed understanding of the end-to-end Sales to Project Delivery Lifecycle. You can demonstrate a strong ability to work effectively in a very fast paced and continually changing environment and respond quickly and easily to changing demands, deadlines, and priorities.

What we are looking for:

  • Someone who is passionate, with great interpersonal skills and strong attention to detail.
  • IT Outsourcing Industry experience.
  • Industry standard certification and/or Bachelor's degree in finance, business, accounting, Project Management or related field.
  • At least 5 years of experience in project financial administration or a similar role.
  • Strong understanding of Project Methodologies.
  • Experience with Enterprise level ERP’s.
  • Strong understanding of financial accounting principles and budgeting practices.
  • Experience with Microsoft Suite applications, such as MS Project, Excel, Outlook, PowerPoint or similar equivalent tools.
  • Excellent analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Ability to work independently and as part of a team.
