Conference Meeting Planner
TLDR
Coordinate end-to-end conferences for senior executives, managing multiple large-scale events across vendors, speakers, and internal teams to deliver seamless, high-impact experiences.
- Manage full conference lifecycle from planning to onsite execution, ensuring timelines, deliverables, and operational requirements are met across multiple simultaneous events.
- Coordinate all event logistics including venues, hotel blocks, travel arrangements, catering, audiovisual needs, transportation, shipping, and production materials.
- Act as the primary liaison for vendors, speakers, sponsors, attendees, and internal teams to ensure alignment and smooth execution.
- Oversee registration processes, event databases, documentation, and logistical tracking to maintain data accuracy and operational visibility.
- Support contract review, budget tracking, and expense monitoring while ensuring cost efficiency and adherence to event budgets.
- Prepare and distribute event communications, schedules, operational plans, and briefing materials for all stakeholders.
- Travel onsite to support live events, troubleshoot issues in real time, and ensure a high-quality attendee experience.
- Collaborate closely with cross-functional teams including production, marketing, sponsorship, audience development, and operations.
- 3+ years of experience in conference planning, event management, hospitality, or meeting coordination.
- Strong project management skills with the ability to manage multiple complex events under tight deadlines.
- Excellent organizational skills with a high level of attention to detail and accuracy.
- Strong communication skills, with the ability to interact professionally with executives, vendors, and clients.
- Experience coordinating travel, accommodations, and vendor relationships for large-scale events.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with CRM or event management platforms is a plus.
- Ability to work independently in a remote, fast-paced, and deadline-driven environment.
- Willingness and ability to travel for onsite conference execution.
- Bachelor’s degree preferred and strong English proficiency required.
