Event Coordinator
TLDR
Drives seamless event execution across trade shows and corporate events by coordinating clients, vendors, and internal teams with strong organization and multitasking.
The Event Coordinator is responsible for supporting event operations, coordinating stakeholders, and ensuring the successful execution of projects from planning through delivery.
- Support account and project teams by coordinating day-to-day program activities and deliverables.
- Organize and manage internal, client, and vendor meetings, including logistics, agendas, and communications.
- Coordinate site visits, including travel arrangements, walkthrough scheduling, and budget tracking.
- Prepare and distribute event documentation such as agendas, contact lists, reports, and project materials.
- Assist in managing contracts and coordination with vendors and external partners.
- Create reports, presentations, and research materials to support project planning and execution.
- Act as a liaison between clients, vendors, and internal stakeholders to ensure clear communication.
- Support planning and execution of advisory boards, strategy sessions, and project meetings.
- Track project progress and ensure alignment with deadlines and deliverables.
- Proactively support team needs and contribute to continuous process improvement.
- 2+ years of experience in event coordination, project coordination, client services, or related fields.
- Strong proficiency in Microsoft Office, particularly Excel, and familiarity with Adobe Acrobat.
- Excellent written and verbal communication skills with the ability to engage multiple stakeholders.
- Strong organizational and time management abilities with attention to detail.
- Ability to manage multiple priorities in a fast-paced, changing environment.
- Strong problem-solving skills with a proactive and resourceful mindset.
- Excellent interpersonal skills with the ability to build relationships across teams and clients.
- Comfort working independently as a self-starter while also collaborating in team environments.
- Ability to support travel and on-site event execution as required.
- Experience in events, hospitality, or agency environments is a strong plus.
- Competitive annual salary range of $55,000–$60,000
