About the role:
We are looking for an Executive Assistant (aka Miracle Worker, formerly called "Executive Assistant") to work closely with our Chief People Officer and build a best-in-class support experience for some of our North America-based C-Levels! You will be supporting our CEO, CFO & Chief Sales Officer. You will be their go-to person for all things scheduling and organization-related and have a big impact on making their day-to-day easier.
What you'll do:
- Support 3 or more executives, including our CEO, CFO, and Chief Sales Officer in their day-to-day organization (calendar management & scheduling, travel arrangements, small event coordination, emails, and general admin work such as expense submission)
- Respond to executives (over all communication channels such as email & Slack) and compile data, reports, presentations, etc. in professional and timely manner
- Stay current on all activities/commitments of the Leadership team in order to manage existing and anticipate future needs
- Complete assigned special projects and ensure high quality deliverables within established timeframes
- Coordinate material for use in meetings, conferences, speaking engagements, etc. while maintaining confidentiality
- Be onsite/on-call at company events: all hands, weekly business meetings etc. (Onsite for events based in NYC with executive presence)
- Work to create and maintain a good and collaborative atmosphere within the supported executives' departments
What you'll bring:
- Ideally, you come with 5+ years of experience in executive support, preferably from a tech startup/scale up or fast-paced environment
- Excellent verbal and written communication skills and professional business acumen
- Prior experience supporting C-level executives in a startup (or Director+ at a large corporation)
- You are obsessed with organization/productivity using GSuite (sheets, docs, gmail, calendar) and have excellent planning, time management and organizational skills with a high attention to detail: your mindset is, no detail is too small!
- You love to help and find solutions to tricky situations while maintaining a positive attitude
- Ability to anticipate and prioritize when scheduling and coordinating in accordance to company and executive priorities
- Ability to build trust and confidence with C-level executives
- You can work well under pressure, especially while juggling multiple priorities, without losing the attention to detail or professionalism
- You have a great sense of integrity and ability to maintain confidentiality
- You are curious and keen to work in a fast-paced environment, surrounded by passionate colleagues
