Executive Assistant, Equity, Diversity & Inclusion

OVERVIEW

In this role, you will provide comprehensive administrative support and assistance including time management, scheduling meetings, and processing correspondence. You will lend support with day to day administrative duties including written correspondence, verbal communications, filing and calendar management. Your leadership, professionalism, passion and commitment to teamwork will contribute to inspiring others, ensuring our vision to Bring the World to Its Feet is integral to our business.

RESPONSIBILITIES

  • Provides confidential administrative and office management support to the Senior Vice President, Equity, Diversity & Inclusion (SVP, EDI)
  • Assume responsibility for all routine administrative details within the office of the SVP, EDI including but not limited to proof reading, filing, preparation of presentations
  • Schedule appointments, arranges meetings, books facilities, prepares necessary documentation, agendas, and informs participants of arrangements
  • Screen telephone calls and e-mails and respond to and direct enquiries in a timely manner
  • Co-ordinate and arranges all travel, conference and course arrangements, and follows-up as appropriately requested
  • Assists in business and administrative matters such as responding to enquiries and processing confidential matters
  • Respond to ticket and donation requests
  • Prepare monthly Board presentations and reports; strategic and annual plan preparation
  • Participate in special projects and perform other related duties as requested
  • 3-5 years of administrative experience, preferably supporting an Executive or senior leader
  • Sound business judgment, including the ability to handle sensitive and highly confidential information
  • Ability to deal effectively with individuals at all levels
  • Professional temperament, including the ability to remain calm under difficult circumstances
  • Solid team player with a strong customer service focus
  • Superior organizational and administrative skills
  • Excellent verbal and written communication skills; strong editing and proofing abilities
  • Proven time management skills, with an ability to effectively establish and execute priorities in a dynamic and changing environment
  • Extensive digital acumen, including MS Word, MS Excel, PowerPoint, Outlook
  • Positive attitude and a friendly demeanour
  • High degree of personal integrity and honesty
  • Works cooperatively, strives to meet team goals
