About the position:

As the Executive Assistant you will embrace a culture and environment that is supportive and always, happy to help. Provide excellent support and follow-through to our executives, board members, employees, customers, and manage a range of requests in support of the business, ensuring that the Executive Office is run efficiently and effectively. 

What you can expect to do:

  • Complex calendar management across business units and global time-zones.
  • Manage content and flow of information to the C-Suite executive and the key stakeholders on their team.
  • Extensive travel arrangements utilizing company travel agency platform. 
  • Manage expense reporting and approvals on behalf of the executive and key team members.
  • Meeting and event planning activities in support of the business.
  • Preparation of materials for presentations, as required, including to executive management team, board members, and outside stakeholders.
  • Provide gate-keeper role for access to the executive’s time. 
  • Provide support during normal working business hours with flexibility as necessary to complete off-hours scheduling or special requests. 
  • Provide EA assistance in support of current project timelines and deliverables. 
  • Supervise, direct, and monitor support needed for yourself and executives through the Executive Support Coordinator to successfully run the Boston HQ office.
  • Work as part of a team of other Executive Assistants in support of the needs of the entire business. 

What we are looking for:

  • 5-8 years of experience as an EA supporting a C-Suite Executive and team  
  • Prior experience working in a in a high-profile corporate environment 
  • Tech savvy, with expert knowledge of MS Office Suite including Outlook, Zoom, Slack, Ring Central
  • Problem solving skills 
  • High attention to detail 
  • Excellent written and verbal communication skills 
  • Thrives in a fast-paced environment  
  • Strong customer service and interpersonal skills; ability to engage in a positive manner with colleagues at all levels, and with external parties representing GP in a professional manner 
  • The proven ability to work along-side other Executive Assistants, building upon the strengths of each other in a collaborative team environment while supporting the needs of the business
