The role

We’re looking for an exceptional Executive Assistant to partner with our senior leadership.

This is not a traditional support role. You’ll manage calendars, travel and logistics, but you’ll also go beyond that: shaping how the company shares information, stays aligned, and operates day-to-day. You will help build and scale Legora as a company and set the operating model. Working closely with the Chief of Staff in the EMEA team, you’ll play a key role in enhancing operational efficiency and supporting the strategic direction of the region. From planning key internal moments to improving workflows, you’ll bring structure to complexity and free up time where it matters most.

What you will be doing:

  • Own calendar, travel logistics and email for our VP of Revenue and VP of Strategic Accounts - not just managing their time, but designing it to reflect shifting priorities and strategic focus.

  • Coordinate internal and external meetings across multiple time zones - making sure every touchpoint is prepared, purposeful and followed up.

  • Lead planning and execution of key team moments - including recurring meetings, offsites, workshops and informal gatherings.

  • Triage inbound requests, protect focus time and help communication flow smoothly across the team.

  • Partnering closely with leadership to flag blockers, support decision-making and help the company stay one step ahead.

  • Provide operational support to keep projects, initiatives and team collaboration on track.

  • Help strengthen collaboration and coordination between the Strategic Accounts and broader EMEA teams, ensuring alignment on priorities and execution.

  • Act as a central point of coordination across the company, collaborating closely with teams including Operations, Product, Sales and Legal.

  • Take initiative to improve the way the team operates - spotting friction points and building better systems.

What you bring

  • 5+ years experience in roles like Executive Assistant, Team Coordinator or Business Operations - ideally in a high-growth or international environment.

  • A proactive, problem-solving mindset - you act before issues arise and take full ownership.

  • Deep attention to detail and a love of structure - you make things faster, smoother, clearer.

  • Strong communication skills - fluent in English, confident in handling sensitive or high-stakes communication.

  • High discretion and maturity - you know how to navigate different stakeholders and build trust.

  • Comfort with tools like Google Workspace, Slack and Notion - and a quick learner when new systems come in.

  • A genuine desire to support others and make the team better - you take pride in the work behind the scenes.
