Front Desk Representative

Provides professional, welcoming front-desk support by greeting visitors, handling calls, coordinating schedules, and maintaining accurate visitor logs.

We are looking for a Front Desk Representative with excellent communication and interpersonal skills to join our team. As a Front Desk Representative, you will be responsible for different receptionist and clerical duties at our office. You will be the first point of contact with all visitors, including our clients and vendors. Essentially, you will be responsible for the first impression we make.
The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued while on our premises.

To provide a professional, welcoming, and efficient front desk experience by serving as the first point of contact for visitors, clients, vendors, and stakeholders while ensuring the smooth operation of reception activities.

Key Responsibilities

  • Welcome visitors and provide exceptional service to clients, vendors, and guests.
  • Answer incoming calls, redirect them to the appropriate department, and take messages as needed.
  • Coordinate and manage appointments, meetings, and conference room schedules to avoid conflicts.
  • Direct visitors to the appropriate personnel or office.
  • Support workplace security by managing visitor badges and maintaining accurate visitor logs.
  • Receive, sort, and distribute letters, packages, and deliveries to the appropriate departments.
  • Keep the reception area clean and organized, ensuring all necessary materials (e.g., pens, forms, brochures) are available.
  • Provide accurate information and assistance to visitors and stakeholders while maintaining a professional and customer-focused approach.
  • Perform other front desk and receptionist duties as assigned.

Requirements

  • Proven experience as a front desk representative, agent, or relevant position
  • BSc in a relevant field
  • Familiarity with office machines (e.g. fax, printer, etc.)
  • Proficient in English (oral and written)
  • knowledge of MS Office (especially Excel and Word)
