SPACE SYSTEMS
This is a rare opportunity to play a key role in Rocket Lab’s evolution into an end-to-end space company that delivers launch, spacecraft, and on-orbit operations. The Space Systems Division is shaping Rocket Lab’s future with Photon, our brand of high-performance satellites, enabling innovative missions in low Earth orbit and beyond including missions for NASA to LEO, the Moon, and Mars and commercial customers including leading the design and manufacture of 17 high power telecommunication spacecraft buses for Globalstar.
Rocket Lab is also growing spacecraft components business, anchored on the acquisition of Sinclair Interplanetary manufacturing reaction wheels and star trackers in Toronto, SolAero Technologies manufacturing solar power and primary structure solutions in Albuquerque, Planetary Systems Corporation manufacturing launch separation systems in Silver Spring, and Advanced Solutions, Inc. provider flight and ground software as a service in Denver. Our component’s business is key to vertically integrating our spacecraft solutions and enabling constellations for customers.
Sinclair Interplanetary
Founded in 2001 Sinclair Interplanetary, a wholly owned subsidiary of Rocket Lab, supplies hardware, software, training and expertise to the spacecraft community. The primary focus is on low-cost, rapid-schedule programs to produce micro- or nano-satellites.
Office Administrator
Based at Rocket Lab's Sinclair in Toronto, Canada the Office Administrator is responsible for the Accounting and Office Admin. You will support the Business Controller and business operations as well as help run daily functions, which includes but not limited to supporting the Finance Dept., and act as back-up to support the Office Manager.
WHAT YOU’LL GET TO DO:
- Deposits cheques and checks bank accounts for incoming wire transfers from customers.
- Assists with matching vendor invoices with packing lists and purchase orders, to submit to Accounts Payable.
- Assists with the processes of CAD payments in Telpay, or ScotiaConnect once the batch is created.
- Maintains spreadsheets to track invoices submitted and ensures that invoices are paid in a timely manner. Cross-check revenue and royalty calculations against invoice records.
- Makes on-time monthly payments on the Company’s Visa account, collects receipts, and reconciles the Visa statement, categorizing all transactions.
- Creates the Payroll JE at ME and supports other Finance functions as assigned.
- Prepares shipping paperwork for outgoing shipments, as needed, which includes customer orders, and items going to various vendors for different processes and invoices customers, as needed.
- Follow-up with customers for billing, collections, and late payments.
- Ensures adequate CAD funds are available to cover expenses, and requests a f/x exchange with Rocket Lab USA, as needed.
- Submits the Restricted Stock Options (“RSU”) information to payroll and ensures the taxes are properly remitted to the CRA.
- Assists and participates in audits, as needed.
- Assist and participates with Physical Inventory Count.
- Assists with the review, tracking and documents compliance with mandatory and non-mandatory training.
- Performs routine tasks required to administer and execute finance-related human resource programs including but not limited to compensation, benefits, and leave.
- Participates in administrative staff meetings and attends other meetings and seminars, as needed.
- Maintains human resource information system (HRIS) records, compiles reports from the HRIS system, and assists with the review and submission of timesheets.
- Assists on projects, as assigned by our HQ office in Long Beach, California.
- Performs other related duties as required and assigned.
YOU’LL BRING THESE QUALIFICATIONS:
- Bachelor’s degree in Business Administration, or related field preferred. A combination of education and related years of experience will be considered.
- 2-5 years of office management experience and knowledge of finance practices.
- 2-3 years of accounting experience.
THESE QUALIFICATIONS WOULD BE NICE TO HAVE:
- GL, Inventory, and cost accounting experience preferred.
- Experience working in a manufacturing company.
- Experience with Infor LN, BAAN, Oracle, JDE, SAP or similar ERP system
- Excellent verbal and written communication skills.
- Excellent interpersonal, negotiation, and conflict resolution skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Ability to manage multiple priorities.

- Thorough knowledge of employment-related laws and regulations.
- Proficient with Microsoft Office Suite or related software.
- Proficiency with or the ability to quickly learn the organizations HRIS and Financial software.
