Budapest, Hungary (with remote coverage for Szeged)

As an Office Co-ordinator, you will:

  • Cross-Site Support: Provide workplace operational support for the Szeged office alongside Budapest duties, ensuring consistent support for both hubs.

  • Site Appearance: Maintain a tidy, professional appearance throughout the office at all times.

  • Building Access Control & Badging: Coordinate building and parking access cards for Budapest and Szeged, including badge creation, activation/deactivation, and termination protocols.

  • Facilities Ticketing: Respond to employee tickets via our ticketing system. Looping in the correct team members or escalation points for support. 

  • Health & Safety: Assist with HSE inspections/processes where needed and coordinate virtual ergonomic assessments for remote and on-site staff.

  • Janitorial: Oversee the janitorial team to ensure performance standards are maintained and address any service issues promptly.

  • Vendor Management: Source, onboard, and track facilities vendors within Coupa; manage performance and quality control for services. I.e pantry, plants and any other services that fall within workplaces remit.

  • Onsite Program Management: Oversee the smooth execution of onsite programs - including parking, catering, lunch services, and plant maintenance - ensuring high service standards and prompt resolution for any issues or renewals.

  • Financial Administration: Act as the first line of approval for Hungary workplace invoices, ensuring accurate contract billing and budget compliance.

  • Inventory Control: Monitor and order stationery and office supplies to ensure timely replenishment across locations.

  • Desk Management: Coordinate new hire desk assignments with both new hire and their manager and ensure our system reflects any assignments for office based employees.

  • Event Support: Support on-site event logistics, including setup, breakdown, adjusting janitorial or catering services as needed, Envoy visitor sign in process, parking and other reasonable task associated.

  • Courier & Mail: Coordinate domestic and international shipments from Hungary, and other EMEA locations where needed.

  • Team Engagement: Joining and actively participating in weekly 1:1’s, regional and global team calls.

  • Perform other reasonable tasks and duties as assigned, both locally and globally within the Corporate Services Department.

  • In the absence of Front Desk Coordinator: covering the front desk and associated duties for the duration. I.e greeting and directing visitors, check in process, mail delivery, manning the front desk.

  • Regional Backup: Act as an operational backup for EMEA regional functions when necessary to ensure cross-team continuity.

  • Provide additional support for facilities projects as they arise, which includes (but not limited to) potentially working overtime on evenings and/or weekends where needed.

We're excited about you if you have:

  • Customer Focus: Prior experience in hospitality, reception, or corporate coordination with exceptional interpersonal skills.

  • Organisational Agility: Proactive multitasker with strong prioritisation skills and the ability to manage two office locations simultaneously.

  • Technical Proficiency: Highly proficient in Google Workspace; experience with Coupa, ServiceNow, Slack, and Concur is preferred.

  • Language Skills: Confident fluency in written and spoken Hungarian and English is required for vendor and global team communication.

  • Flexibility: Adaptable attitude with the ability to occasionally adjust hours for move projects, executive visits, emergencies etc.
