What we are looking for

We are looking for a highly organized, proactive, and service oriented Associate to join our Stockholm office (On-site). In this role, you will provide dedicated support to our CEO while contributing to the smooth and efficient operation of the office. You will act as a trusted support function, ensuring effective coordination, strong execution, and a professional workplace experience.


Key responsibilities

Executive Assistant 80%

  • Provide high-level administrative support directly to the CEO
  • Manage and coordinate the CEO’s calendar, meetings, priorities, and daily schedule
  • Organize business travel arrangements, including flights, accommodation, itineraries, and meeting logistics
  • Prepare meeting materials, presentations, documents, and follow-up actions
  • Handle confidential information with professionalism, discretion, and sound judgment

Office Management 20%

  • Manage the daily operations of the office and ensure everything is well-organized and running smoothly
  • Coordinate office activities, including team events, lunches, breakfasts, and other employee initiatives
  • Order and maintain office supplies, equipment, and general office needs
  • Ensure the office environment is welcoming, functional, and aligned with company culture
  • Ensure compliance with relevant company policies and health & safety regulations. 


About You

You are a structured, reliable, and proactive person who enjoys being the one others can rely on. You have a natural ability to anticipate needs, create order, and keep things moving, even when priorities change quickly. You are comfortable working independently, taking ownership, and managing multiple priorities in a fast paced environment. You have excellent organizational skills, strong attention to detail, and a solution oriented mindset.

As this role involves close collaboration with the CEO, you understand the importance of confidentiality, discretion, and professionalism. You will be trusted with sensitive information and therefore it is crucial that you can handle all matters with sound judgment, integrity, and a high level of maturity.


Valid driver’s license (B category) is required.


Experience from executive support, office management, or a similar role is a plus.
