This is a unique opportunity to join a fast-growing scale-up at a crucial phase of growth and help change an industry for the better. Due to the nature of the place of work, the expectation would be for this role to be based in our London office.

What you'll be doing:

  • Serve as a friendly ambassador for our brand by being the first point of contact for Office Manager duties, including welcoming external guests and colleagues.
  • Manage the smooth day-to-day running of the London office.
  • Partner with the People Team to update and maintain office policies as necessary and assist in the onboarding process for new hires: office orientation, distributing access cards and keys to lockers.
  • Coordinate with our IT department on all office equipment.
  • Help manage office budget and record office expenditure, ensuring cost-effectiveness.
  • Manage the office layout planning and future office moves.
  • Implement and maintain health and safety procedures and ensure they are kept up to date.
  • Arrange regular testing for electrical equipment and safety devices.
  • Manage the relationship with building management and act as the first point of contact for facility-related issues.
  • Maintain the office and kitchen supplies; weekly food shop, office equipment and stationery.
  • Maintain all meeting rooms; ensuring they are clean and tidy.
  • Receive and sort incoming mail and deliveries.
  • Oversee travel and accommodation requirements for the London team, and support the Brighton office when needed.
  • General PA support to the executive team, including setting up and coordinating meetings.
  • Support the wider business with administrative duties as and when required.
  • Assist with office activities, social events, and other business needs as and when required.

Requirements

  • Proven experience as an Office Manager / PA, ideally in a fast paced scale-up environment.
  • Proficiency in G-suite, MS Office and use of Zoom.
  • Strong time management and organisation skills, flexibility, and multitasking ability.
  • The ability to learn quickly, make decisions proactively and use your initiative to find solutions to problems.
  • Exceptional communication skills, with the ability to read the room and tweak your approach for the audience.
  • Highly organised and work well under pressure and to deadlines.
  • First aider/fire warden experience would be an advantage.
