Operations Specialist (Creative Production)

TLDR

Design and run scalable operational systems for creative production in a data-driven, product-led health ecosystem, driving automation and cross-functional alignment.

Accountabilities

In this role, you will be responsible for building and maintaining the operational systems that support creative production at scale, ensuring teams are aligned, efficient, and unblocked in their execution.

  • Design and maintain scalable end-to-end processes, documentation, onboarding materials, and operational frameworks that support creative production workflows.
  • Coordinate recurring team rhythms including weekly, monthly, and quarterly planning, ensuring clarity on priorities, ownership, and deliverables.
  • Improve cross-functional collaboration by aligning producers, strategists, and platform teams, and ensuring smooth information flow and dependency management.
  • Identify and implement AI and automation opportunities to reduce repetitive operational tasks such as reporting, tracking, scheduling, and documentation.
  • Partner with MarTech and AI teams to build smarter, more efficient operational systems and workflow enhancements.
  • Requirements

    You bring strong operational discipline and a systems-thinking mindset, with the ability to structure complexity and improve how work gets done across teams.

    • Experience in operations, project management, production operations, or business operations in a fast-paced environment.
    • Proven ability to build processes, systems, and documentation from scratch and continuously improve them.
    • Strong organizational skills with the ability to manage multiple workflows and stakeholders simultaneously.
    • Excellent communication and coordination skills across cross-functional teams and different levels of seniority.
    • Strong attention to detail with a high degree of accountability and follow-through.
    • Systems-thinking mindset with the ability to identify bottlenecks, inefficiencies, and automation opportunities.
    • Strong interest in AI, automation tools, and modern operational platforms (Airtable, Notion, project management tools, or similar).
    • English proficiency at B2 level or above.
