Project Coordinator

The Project Coordinator supports the project management and field teams in the execution of commercial construction projects from award through closeout. This role provides essential administrative, documentation, and coordination support to ensure projects run efficiently, information flows smoothly, and project milestones are met. The Project Coordinator acts as a key link between the project team, subcontractors, vendors, and clients while maintaining accurate project records and supporting day-to-day project operations.
What You’ll Do
- Maintain organized project files, including contracts, drawings, specifications, submittals, RFIs, meeting minutes, and correspondence.
- Upload, track, and distribute project documents through company systems and project management software.
- Create and maintain submittal logs, RFI logs, change order logs, and project directories.
- Serve as a point of contact for internal team members, subcontractors, vendors, and consultants.
- Assist in managing RFIs, submittals, and document revisions to ensure timely responses and approvals.
- Coordinate project meetings, prepare agendas, and document meeting minutes.
- Assist the Project Manager with budget tracking, cost reporting, and change management documentation.
- Support schedule updates by tracking milestones, deliverables, and procurement timelines.
- Assist with purchase orders, subcontract agreements, and change order processing.
- Coordinate site access, badging, safety documentation, and onboarding requirements for subcontractors as needed.
- Serve as the primary point of contact for all project-related job supply orders, coordinating requests, tracking deliveries, and resolving order issues with vendors and project teams.
- Assist with project closeout, including collection of as-builts, warranties, O&M manuals, and final documentation.
What You Bring
- Strong understanding of commercial construction processes and documentation preferred.
- Proficiency with construction management software such as Procore, Bluebeam, and Microsoft Office.
- Excellent organizational skills with strong attention to detail and follow-through.
- Effective written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Team-oriented mindset with the ability to work independently when needed.
