Seasonal Assistant, Festival Programming

TIFF, a vibrant not-for-profit arts organization, is hiring for the contract position of:

SEASONAL ASSISTANT, FESTIVAL PROGRAMMING
Reporting to the Coordinator, Festival Programming, the Assistant, will provide administrative support to the Festival Programming department.

Responsibilities

  • Enter Festival preview screening information and comments into the database according to established guidelines;
  • Assist with the management of schedules@tiff.net, organizing the information to be communicated, as required;
  • Assist with data entry and proofing of the tentative and confirmed film schedule in the weeks of July 30 and August 6, respectively;
  • Assist with the tentative and confirmed schedule notification processes in the weeks of July 30 and August 6, respectively;
  • Assist the Senior Scheduling Coordinator, Festival Programming with proofing the film schedule for the OFS, P& I Guide and website in the weeks of August 13 and August 20;
  • Send and track RSVPs for Festival Programming invitations for both the July and August Festival press conferences;
  • Assist the Senior Manager, Festival Programming with organizing special events run by Festival Programming in the lead up to and during the Festival, including orientation sessions, the Festival Programming Summer Brunch, the Filmmakers’ Brunch and Directors’ Dinners, and programme cocktails, as directed;
  • Provide additional administrative support to senior staff, including schedule and call management, and the Festival Programming department as required;
  • Write a detailed post-mortem report.

Minimum Requirements

  • Eligible to work in Canada;
  • Post-secondary degree/diploma;
  • Previous work experience in arts and culture administration;
  • Knowledge of and/or passion for/desire to learn about the film industry and international cinema;
  • Excellent organizational skills and a keen eye for detail;
  • Precise memory for names, positions, companies and situations;
  • Mature personal judgment, exhibiting a high level of professionalism and diplomacy;
  • Able to handle difficult situations and people with aplomb and grace;
  • Excellent phone manner, communication fluency and interpersonal strengths;
  • Proficiency with computers and applications (including Microsoft Office Suite, the Google environment and relational databases);
  • Ability to work both independently and in a team environment;
  • Desire and ability to take initiative and coordinate projects;
  • Ability to work and respond well in fast-paced and high pressure environments with a flexible schedule, including evenings and weekends;
  • Fluency in a second language considered an asset;
  • Previous festival experience considered an asset;
  • Degree or diploma in film studies or related area considered an asset;
  • Adaptable to a flexible work schedule including some evenings and weekends

Contract Dates

  • April 16, 2018 – September 21, 2018
