Staff Accountant
TLDR
Own and scale an e-commerce accounting infrastructure with marketplace reconciliations, automated transaction posting, and cross-channel system integrations into QuickBooks Online.
We are seeking a staff accountant to own and scale our e-commerce accounting infrastructure, with a strong focus on marketplace reconciliations, automated transaction posting, and system integrations. This role is responsible for ensuring that all activity across Amazon, TikTok Shop, Shopify, and Walmart.com flows accurately and completely into QuickBooks Online (QBO).
You will play a key role in designing repeatable processes that keep high-volume transactional data clean, reconciled, and audit-ready while supporting operational scale.
Key Responsibilities
Marketplace Reconciliations
• Own daily, weekly, and monthly reconciliations for Amazon, TikTok Shop, Shopify, and Walmart.com
• Reconcile gross sales, refunds, marketplace fees, taxes, shipping charges, chargebacks, reserves, and net payouts to bank deposits
• Maintain and clear marketplace clearing accounts, investigating and resolving discrepancies in a timely manner
Transaction Posting & QBO Integration
• Ensure every order, refund, fee, tax, payout, shipping charge, discount, and expense from all sales channels is accurately posted into QuickBooks Online
• Configure and maintain detailed transaction mapping so marketplace data flows correctly into revenue, fee, tax, and clearing accounts
• Monitor and validate automated syncs to ensure completeness, accuracy, and proper timing
• Post and review journal entries related to revenue recognition, fees, reserves, and accruals
Product Listing & System Sync
• Maintain synchronization of product listings between e-commerce platforms and the accounting system
• Ensure accurate alignment of:
o Product names and descriptions
o Pricing and discount structures
o Images and SKU mapping
o Inventory quantities and unit conversions (e.g., eaches to bundles, kits, and multi-packs)
• Ensure product data supports accurate financial reporting and inventory valuation
Close, Controls & Process Improvement
• Support monthly close activities, including balance sheet reconciliations and supporting schedules
• Design, document, and improve SOPs for marketplace accounting and integrations
• Implement and maintain strong internal controls to ensure data integrity and audit readiness
• Identify opportunities to automate manual processes and reduce reconciliation effort as transaction volume scales
• Support external audits and provide detailed documentation for revenue and cash activity
What Success Looks Like
• All marketplace transactions fully synced and accurately mapped in QBO
• Clean, reconciled clearing accounts with minimal aging
• Product listings aligned across platforms and accounting systems
• Scalable, documented processes that support growth and audit readiness
