Venture For America Summer Support Team (3 roles for undergraduates)

The Opportunity

Venture For America is changing the face of entrepreneurship. We’re on a mission to create economic opportunity in cities across the country by mobilizing the next generation of entrepreneurs and equipping them with the skills and resources they need to create jobs. Our two-year Fellowship program leverages the power of an apprenticeship model to give recent college graduates firsthand startup experiences and help them become leaders who make meaningful impacts with their careers.

Core parts of Venture For America’s Fellowship programming include Training Camp and Redux, RISE, Reunion. These take place over the summer each year, and together, we refer to these programs as TCR, and the Teams that run them as the TCR Team. We are looking for 3 undergraduate students who want to join the TCR team this summer to help run our Fellow programming!

Training Camp is a two-week, full-time program in Detroit, Mich. from July 18-28 for our incoming class of Fellows. While there, Fellows learn professional skills to help them add value in their jobs at high-growth companies and begin business ideation as the next generation of entrepreneurs.

Redux, RISE, Reunion is a weekend-long event in Tulsa, Okla. from May 23-June 1that covers programming for our second year Fellows, RISE groups (a formal community space for Fellows and Alumni who identify with groups that are underrepresented in entrepreneurial and innovation communities), and Alumni. Side-Project-a-Thon (SPaT) is an optional startup hackathon open to Fellows attending Redux that allows them to dive into a potential business idea or side project and pitch for grant funding Through these programs, we foster community and continued professional development.

We are currently hiring for three separate roles on our team that are for undergraduate students - each with a different timeline for start-date, and function. See below for a brief overview of the timeline and compensation for each role, and then read further below for a summary of each role. When you apply, you'll be able to indicate which of the roles you are interested in (either 1, 2, or all 3!)

1. Operations Specialist
- Full time (40 hrs) from July 1-30, 2022
- In person work from July 13-30 in Detroit, Mich. for Training Camp. Remote remainder of the time
- Travel to/from is reimbursed, accommodations and meals provided by VFA.
- Compensation: $2400 averaging $15/hr paid as a monthly stipend

2. Data Specialist
- Full time (40 hrs) from July 1-30, 2022
- In person work from July 13-30 in Detroit, Mich. for Training Camp. Remote remainder of the time
- Travel to/from is reimbursed, accommodations and meals provided by VFA.
- Compensation: $2400 averaging $15/hr paid as a monthly stipend

- Compensation: max $7800 averaging $15/hr paid as monthly stipend

COVID-19 Notice
We are excited that Venture For America’s Training Camp will return in person this year. It will take place in Detroit at Wayne State University Attendance at Training Camp is a required aspect of this job position and in order to progress through our hiring process, candidates must agree to follow Wayne State University’s COVID policies.

Wayne State does require proof of vaccination. However, you may apply for a waiver of the requirement based on legitimate health or religious reasons. If the request is approved, you will be required to be COVID-19 tested once per week and may be asked to wear a mask indoors.

It is also important to note that no one attending Training Camp can have traveled internationally 14 days prior to July 18. International travel after July 4 will result in an inability to participate. If you will need an exception from the policy, please let us know during your interview and we will follow up with information on how to apply.

Role 1: Operations Specialist

Position Summary
As a core part of the Venture For America Team, you will play a key role in ensuring that our signature program, Training Camp, goes off without a hitch. 

Specifically, as the Operations Specialist, you will support the Operations Associate in ensuring all aspects of these sessions run smoothly so all Fellow and Trainer experiences are seamless.  

Time Commitment and Compensation
This is a 1-month full-time (40 hours per week) hybrid contract position from July 1-30. This position will be remote from July 1-12, but will require you to be in-person in Detroit, Mich. from July 13-30 (Training Camp). In-person programs require 8+ hour/day time commitment Monday-Friday, with some additional required events in the evenings and weekends. For the in-person dates, VFA will provide accommodation in single dormitories, meals, and travel reimbursement to/from the programs. The maximum compensation is $2,400 (averaging $15 per hour), which will be paid as a monthly stipend.

Support Team Member Responsibilities
- 40% Role-specific projects (listed below)
- 40% In-session for Training Camp (taking shifts with other support team members) to assist with a variety of session needs (tech support, passing out materials, handing microphones to Fellows etc.) and be “on-call” to troubleshoot or support any in-the-moment needs
- 10% Support Credo House Leads (CHL) in all operational and community-building tasks to ensure a high quality experience for Fellows and a lasting community
- 10% Be Generally Helpful (BGH) where needed. Throughout the summer there will be many times we’ll need help with tasks that fall outside of the job descriptions. We’re looking for team members who are happy to pitch in wherever needed

Operations Specialist Responsibilities
- Ensure everyone knows the who/what/where/why of each session for Training Camp
- Keep the calendars updated with detailed information of each session: session title, start and end time, learning objectives, and Airtable link
- Follow up after each session to update Airtable and Google Drive with the session recording, slides, and materials
- Follow up after each session to update the Team Drive
- Proactively handle any developing issues and troubleshoot any emerging problems during sessions to ensure they run smoothly
- Manage Fellow signups (Credos, breakout sessions, office hours, etc.) and draft communications related to program logistics
- Keep our various digital spaces organized (Google Drive, Slack, Airtable, and Google Calendar) and manage updates (including all TCR presentation slides and recordings) in AirtableWork with the Programs Team to ensure that Fellows receive a high-quality learning experience throughout Training Camp and Redux
- Support the Operations Associate with weekly challenge-related tasks, such as: Update slides and materials; Manage feedback process; Work with Operations Associate to review submissions for accuracy; Assist with communication to Fellows; Develop an office hours signup process; Be Generally Helpful
- Manage entire Credo process, which includes: Manage the process of twice-daily presentations by Fellows sharing which Credo means the most to them and why (See more here: https://ventureforamerica.org/fellow-experience/); Create signup forms and manage Credo Schedule; Send reminders to Fellows one week and then 48 and 24 hours in advance of their Credo date; Schedule and host 1:1 practice sessions with Fellows; Track recording permissions, phonetic spellings, trigger warnings, and update announcements run of show
- Manage Kudos process, which includes: Create Kudos and mail merge form; Review Kudos submissions and send out Kudos mail merge weekly or semi-weekly
- Be the go-to Support Team member for all projects related to the challenge groups and weekly challenge managementAdapt processes to improve future sessions
- Work with the Support Team on projects related to community building and the Fellow social experience for the entire class. Examples include: Develop fun ways for Fellows to meet other Fellows Design a creative reveal of weekly challenge winners; Create weekly playlists; Support with special events (this may include: Training Camp opening, Training Camp closing, VFA’s Got Talent, Redux closing)Find ways to celebrate Fellows who have a birthday during TCR


Role 2: Data Specialist

Position Summary
As a core part of the Venture For America Team, you will play a key role in ensuring that our signature program, Training Camp, goes off without a hitch.
 
As the Data Specialist, you’ll support the ongoing evaluation of VFA Training Camp, which is incredibly important for our organization’s ability to measure its impact. You’ll work closely with our Senior Programs Associate and Guest Experience Specialist to manage all aspects of our data including Fellow attendance, survey, and Guest Experience data. 
You will support us in answering the following questions: How do we measure the success of Training Camp and Redux? How do we know if it’s working for Fellows? How do we know it’s working for speakers?

Time Commitment and Compensation
This is a 1-month full-time (40 hours per week) hybrid contract position from July 1-30. Data Specialist Responsibilities
- Improve the Training Camp data plan as we execute our newly designed program in-person
- Support the Senior Programs Associate with all data projects and tasks: tracking attendance, engagement, Credo House points, and feedback from Fellows and Speakers
- Support the Senior Programs Associate with the creation of feedback surveys in Qualtrics on specific guest speakers, trainers, sessions, and the program as a whole
- Track daily attendance and engagement and create reports
- Maintain Airtable & Qualtrics records and databases as necessary
- Collaborate with the Guest Experience team to manage guest data
- Create, distribute, and analyze surveys and communicate results
- Create diverse weekly challenge teams based on a variety of metrics including past experience and skills, personality and leadership traits, timezone, and job-seeking status
- Work with the Support Team on projects related to community building and the Fellow social experience for the entire class. Examples include: Develop fun ways for Fellows to meet other Fellows; Design a creative reveal of weekly challenge winners; Create weekly playlists; Support with special events (this may include: Training Camp opening, Training Camp closing, VFA’s Got Talent, Redux closing); Find ways to celebrate Fellows who have a birthday during TCR

Position Summary
As a core part of the Venture For America Training Camp and Redux, RISE, Reunion (TCR) Team, you will play a key role in ensuring that our signature programs go off without a hitch. 

As the Support Team Lead, you will serve as a leader of a team of three. You’ll start two months before the other Support Team members start, and we’ll rely on you to provide leadership to the Support Team and assist us in running all aspects of the logistics of our programs. You’ll do everything from coordinating event logistics to staffing sessions to developing onboarding and community building opportunities for the Support Team to being a resource for Fellows and planning activities to enhance their experience.

Time Commitment and Compensation
This is a 3-month full-time (40 hours per week) remote contract position from May 2nd through July 30, but will require you to be in-person in Tulsa, Okla. from May 23 - June 1 (Reunion, Redux, RISE, SPaT) and in Detroit, Mich. from July 11-30 (Training Camp). In-person programs require 8+ hour/day time commitment Monday-Friday, with some additional required events in the evenings and weekends. For the in-person dates, VFA will provide accommodation in single dormitories, meals, and travel reimbursement to/from the programs. The maximum compensation is $7,800 (averaging $15 per hour), which will be paid as a monthly stipend.

Responsibilities
- 60% Role-specific projects (listed below)
- 20% In-session for Redux, RISE, Reunion and Training Camp (taking shifts with other support team members) to assist with a variety of session needs (tech support, passing out materials, handing microphones to Fellows etc.) and be “on call” to troubleshoot or support any in-the-moment needs
- 10% Support Credo House Leads (CHL) in all operational and community-building tasks to ensure a high quality experience for Fellows and a lasting community
- 10% Be Generally Helpful (BGH) where needed. Throughout the summer there will be many times we’ll need help with tasks that fall outside of the job descriptions. We’re looking for team members who are happy to pitch in wherever needed

Support Team Lead Responsibilities
Manage a variety of projects to help us run outstanding programs this summer including:
- Support in the coordination of Fellow and Alumni lodging logistics, including room assignments
- Support in the coordination of space logistics for both programming and events
- Coordinate VFA Credo sign-ups with VFA Fellows 
- Support the Guest Experience Contractor in coordinating Fellow lunches with speakers
- Support the Senior Programs Associate with creating and executing a data/attendance plan for Reunion, RISE, Redux
- Support the Operations Associate with Challenge Team logistics for Training Camp
- Update and create various guides to leading and participating in VFA Programs (for speakers, judges, Fellows, and Team members)
- Set up calendars with detailed information on each session: session title and description, learning goals, speaker information, etc.
- Own the Airtable experience: set up our digital workspace to be most efficient
- Research, order, and ship gifts to our many TCR guests, Fellows, and Team
- Plan and lead some of the TC sessions and events, like VFA’s Got Talent — our annual Talent Show at Training Camp!
- Work on creative projects like welcome cards, t-shirts designs and Training Camp videos 
- Work with the Senior Manager of Fellow Experience Contractor to create a positive culture across our distributed
- Support Team Assist in creation of Support Team onboarding and community building plans
- Empower the Support Team to take responsibility for their jobs and goals
- Plan community building events for the Support Team
- Work with the Support Team on projects related to community building and the Fellow social experience for the entire class; examples include: Develop fun ways for Fellows to meet other Fellows; Design a creative reveal of weekly challenge winners; Create weekly playlists; Support with special events (this may include: Training Camp opening, Training Camp closing, VFA’s Got Talent, Redux closing); Find ways to celebrate Fellows who have a birthday during TCR
